KIPP Public Schools Northern California is Hiring a Business Operations Manager - Stockton (24-25) Near Stockton, CA

Position Summary 
The Business Operations Manager (BOM) is responsible for the management of the school’s core business functions - accounting, HR, facilities and technology - as well as managing and overseeing day-to-day operations in the front office, including maintaining a pristine office space and welcoming and directing current and prospective families, students and guests. The BOM is a multi-talented leader who maintains and optimizes school systems, owns and is accountable for key school and campus processes like procurement and facilities maintenance, and partners with the Director of School Operations and School Leader to ensure our schools are well-run, fully compliant and financially secure, during both in-person and virtual learning. 
The Business Operations Manager reports to the Director of School Operations and works closely with the Regional Operations, Accounting, HR, Facilities and Technology teams, the School Operations team, and School Leadership. 
This role will be shared amongst two campuses that are co-located (KIPP Stockton Middle School & KIPP Stockton Elementary School) 
Preferred Qualifications 
Experience: 
  • Deep integrity and commitment to KIPP Public Schools Northern California’s mission and values required 
  • 2 years of office management, operations, accounting, human resources or facilities management, including working knowledge of general office business systems and practices required 
  • Experience working in a fast-paced, entrepreneurial environment required 
Education: 
  • Bachelor’s Degree and 2 years of work experience or 4 years’ work experience required 

 

Knowledge/skills required: 
  • Self-awareness and a commitment to continuous learning 
  • Adept at problem solving and decision making, with a keen attention to detail 
  • Ability to self-direct, prioritize and multi-task among competing goals 
  • Demonstrated ability to work well with others and build relationships across teams 
  • Excellent written and verbal communication skills with keen attention to detail 
  • Proficiency in one or more of the the languages spoken by the school community (Spanish, Mandarin, Vietnamese), required/preferred 
  • Proficiency in Microsoft Office suite or Google Suite required 
  • Ability to learn and utilize technology necessary to operate in a virtual office environment (i.e. Zoom)  
Essential Functions and Responsibilities 
Manages daily office operations  
  • Organizes, secures, and maintains a pristine office space and environment for students, staff and families 
  • Models, upholds and maintains a positive, nurturing, achievement-oriented school culture by welcoming and attending to prospective and current families and directing phone calls and guests warmly and professionally 
  • Drafts, translates, and distributes school correspondence and communications - including letters, newsletters and weekly bulletins - and manages or supports all other school-based communications and systems (ex. MailChimp, ParentSquare). 
  • Partners with DIrector of School Operations, teachers and staff to plan and coordinate field trips and other student and school-wide events, as needed 
  • Administers basic first aid, distributes medication, maintains injury reports, and contacts parents regarding health and safety, as necessary. Reports major injuries, head injuries and other school incidents to DSO. 
  • Adhere to KIPP’s health and safety guidelines as outlined by the CDC, CDE, and public health agencies’ recommendations. 

 

Oversees day-to-day accounting, contracting and vendor management procedures 
  • Partner with the regional Accounting team to manage and oversee school-wide procurement, cash receipts, deposits, and the effective, compliant development and implementation of financial policies, including those related to accounts receivable and payable, budget line item management and invoice entry and approval. 
  • Partner with the Director of School Operations and School Leader on schoolwide budget management, ensuring the school maintains at least a break-even budget at the end of the year. 
  • Develops a strategy to source and select suppliers to ensure the school meets all federal, state and regional requirements related to purchasing, procurement and contracting; manage relationships with external vendors and ensure compliance (ex. nutrition, etc.) 
  • Partner with the regional Facilities team to manage all on-campus maintenance and facilities issues, including managing relationships with vendors responsible for maintenance, janitorial and pest control. 

 

Ensures compliance with all school and regional HR policies and procedures 
  • Partner with the regional Human Resources team to inform and implement human resource (HR) management policies at the school, ensure staff have a clear understanding of HR policies and procedures and drive school-level compliance with relevant employment and labor laws. 
  • Manage the administration of school personnel matters, including issues related to payroll, benefits, insurances, legal and other compliance matters, performance management, discipline, and staff grievances, and elevate major issues to the regional HR team when necessary. 
  • Assist school team with the hiring, development and appraisal of non-teaching staff. 
  • Maintain confidential staff records in accordance with KIPP Bay Area policies. 
  • Manage and oversee substitute teacher coverage, communicating expectations to staff, securing coverage when staff are absent and managing substitute teachers while they are on campus. 

 

Serve as the school-level operational lead for technology management  
  • Partner with the regional Technology team to ensure the ongoing management of all staff and student technology, including laptops and phones, and engage with external vendors to ensure the upkeep of building technology and equipment, including copiers, printers and WiFi 
  • Be responsible for the security, monitoring and control of inventory and access to technology systems 

 

Physical, Mental and Environmental Demands  
Physical:  
Ability to navigate both office and campus environments, and hold meetings in different spaces. Traditionally, much of the day involves sitting. Ability to access and utilize technology. Occasional lifting/carrying of equipment up to 20 lbs. 
Mental: 
Stress of deadlines and normal work standards, ability to analyze problems and generate alternatives, work with interruptions, concentrate for long periods of time, read, calculate, perform routine math problems, memorize and recall objects and people. 
Environmental: 
School and classroom environment subject to constant interruptions and distractions. Adhere to KIPP’s health and safety guidelines as outlined by the CDC, CDE, and public health agencies’ recommendations.  
Classification 
Full-time, exempt position with a start date of 7/1/24.

Compensation 
KIPP Northern California is dedicated to you and your family's well-being! We offer a competitive salary as well as a comprehensive benefits package including medical, dental, vision, and transportation benefits. 
We benchmark annually against comparably-sized non-profit organizations in the regions where we operate, to offer competitive salaries. The salary range for this position is between $65,000 and $75,000 depending on previous experience & competencies shown during the interview.
