Job Title

Leasing Specialist/Assistant Community Manager- Full Time

Reports To

Community Manager

Job Summary

Wednesday-Sunday 8am - 5pm.

Assisting the Community Manager with managing two brand affordable apartment communities in Molalla, OR and Estacada, OR.

Responsible to perform all necessary leasing functions to maintain highest effective rent levels possible while maintaining a strong customer service/satisfaction philosophy. Must maintain a courteous and helpful attitude to residents and potential residents. Respond to resident and potential resident needs promptly and assists in resolving resident issues. Performs administrative duties under the direct supervision of Community/Office Manager.

Essential Duties and Responsibilities:

  • Answer all phone calls and give out rental information as dictated by policy/procedure.
  • Track how prospects are hearing about us and follow up after they have visited our property. Maintain daily Traffic Log and prepare/submit Traffic Summary on a weekly basis
  • Accompanies prospects to model apartments or market ready units and discusses size and layout of rooms, tour available facilities such as swimming pool/spas and laundry rooms etc., give location of area conveniences, and terms of lease information.
  • Prepare, process rental applications, lease packets, renewals and any related forms
  • Handle all details of move in’s, move out’s, inspections and any related forms including collecting move-in/holding fees.
  • Prepares lease agreement and move in paperwork
  • Shop competition through phone calls and visits on a regular basis (Prepare Rent Comparable Report and Market Survey Report)
  • Prepare lease renewals, coordinate all move-in dates and all changes regarding move-outs.
  • Perform Pre-Inspections, inspect market ready vacant units and model apartments
  • Inspects condition of model daily and arranges for necessary maintenance.
  • Compiles and updates listings of available rental units
  • Adheres to all fair housing laws
  • Communicates with and assists current residents with complaints or problems.
  • Assist on-site manager with administrative duties as assigned such as deposits, invoice processing, etc.
  • Develops and maintains resident relations through the courtesy of on-site personnel, promptness of maintenance calls, and knowledge of community policies and procedures.
  • Assists manager with marketing and the composition of newspaper and rental magazine advertisements as well as monitoring content of on-line web site information.
  • Attend weekly staff meetings
  • Initiate and distribute work order requests for general maintenance. Follow up weekly on any open requests.
  • Report accidents and emergency situations as policy and procedure dictate and fill out necessary accident report forms.
  • Maintain strict confidentiality of all company, property and resident matters.

Education and/or Experience

One-year previous apartment leasing experience, or two years previous experience in a customer service related field. Computer proficiency in MS office and a property management software program preferred.

Language Skills

Ability to generate reports and basic business correspondence. Ability to effectively present information and respond to questions from residents, vendors and the general public.

Mathematical Skills

Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals. Ability to compute rates/percentages.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Other Skills and Abilities

Complete and submit weekly activity report, weekly traffic and leasing report, weekly off-site marketing report in a timely manner and accurately. Ability to operate basic office equipment such as copier, fax, computer, typewriter, calculator and telephone.

Pay: $20.00 - $22.00 per hour
