Knowledge and Experience:

  • Must have a High School diploma. Associates degree preferred. 
  • 2-5 years of document control experience. 
  • Must have a working knowledge of ISO 9001 Quality Standard 

Skills:

  • Must have excellent written and verbal skills. 
  • Must have excellent interpersonal and organizational skills. 
  • Must have excellent MS Office 365 skills specifically, Teams, SharePoint, Microsoft Word & Excel. 
  • Must be familiar with creating and editing Adobe Acrobat PDF files 
  • Must be familiar with document, asset management, and workflow management systems such as Meridian, Trapeze, and Coruson. 
  • Must be able to communicate successfully with a variety of disciplines and levels, both internal and external staff. 
  • Must have demonstrated ability to act independently upon information and make decisions that achieve optimal results. 
  • Must be a self-starter who takes the initiative to explore opportunities and develop and evaluate sources. 

Key Accountabilities:

  • Demonstrate and adhere to the Keolis Commuter Services principals of Employee Engagement, Operational Excellence & Safety, Customer Satisfaction, Corporate Social Responsibility and Economic Performance. 
  • Comply with all safety rules and procedures and report all hazards as required. 
  • Ensure all documents meet KCS Mechanical standards including review and approval of new revisions prior to publication. 
  • Provide technical writing support when required which includes: interviewing, data gathering, using drafts as source documents, gathering and processing review comments, content editing and copy-editing final drafts to ensure compliance with KCS standards. 

Document Control:

  • Develop, document, implement, and manage all mechanical related document control processes
  • Maintain all Mechanical documents in the approved systems (MS Teams, Sharepoint, Coruson, Inside Track (Blink), Meridian) 
  • Support the Engineering Change Process by implementing approved changes across all required mechanical documentation.
  • Manage the Mechanical documents on the Keolis approved electronic intranet and configuration management platforms to ensure only relevant and current revision of documents are available.
  • Manage and control all issued documentation for the mechanical department.
  • Develop, implement and maintain, a fully electronic document management system. 
  • Coordination of Mechanical documents for revision, review, approval, and availability. 

Enterprise Asset Management System – Trapeze:

  • Manage and control Multiple Unit Projects (MUP) through the mechanical enterprise asset management system (Trapeze). This includes ensuring that the proper documentation is prepared for MUPs enabling successful execution. 
  • Ensure equipment list for each MUP is accurate for the specified project and manage the equipment lists for all Mechanical MUPs.

Configuration Management:

  • Support the implementation, development, and organization of the approved configuration management software – Meridian and Intranet. 
  • Maintain equipment documents, drawings, schematics, procedures, maintenance manuals, maintenance instructions, etc. in the approved configuration management software. 
  • Maintain the meta-data for all documents controlled in the KCS configuration management software. 

Other Duties:

  • Provide support to the Mechanical Quality Manager as required.
  • Assist with document control audits. 
  • Assist “Subject Matter Experts” in the development and updating of a variety of technical documents and post them to the designated document management portal. 
  • Other duties as assigned.
