Description
We are seeking a dynamic and organized Sales Administration Specialist to join our growing team. This role is pivotal in supporting the sales department by handling various administrative tasks, ensuring smooth coordination between different teams, and contributing to the overall efficiency of the sales process.
Key Responsibilities
  • Presentation and Report Preparation:
    • Develop and prepare visually appealing and informative presentations for sales pitches and meetings.
    • Generate accurate and insightful reports to aid in decision-making processes.
  • Employee Activity Coordination:
    • Facilitate and coordinate various employee activities to foster a positive and collaborative team environment.
    • Assist in organizing team-building events and initiatives to enhance team cohesion.
  • Work Order Management:
    • Collaborate with Service Administrators and New Systems Administrators to manage work orders efficiently.
    • Ensure seamless communication and coordination between sales and service teams.
  • CRM Data Management:
    • Regularly update and maintain customer information in the Customer Relationship Management (CRM) system.
    • Work closely with the sales team to ensure data accuracy and cleanliness in the CRM.
  • Sales Incentive Plan (SIP) Support:
    • Assist in the implementation and execution of initiatives related to the Sales Incentive Plan.
    • Collaborate with the sales team to gather relevant data and metrics for SIP evaluation.
  • Contract Management and Renewals:
    • Support Customer Success Representatives in managing contracts and renewal processes.
    • Ensure all necessary documentation is accurate, complete, and up-to-date.
  • Lead Generation Support:
    • Collaborate with marketing teams to assist in lead generation activities.
    • Ensure leads are properly entered into the CRM system for sales follow-up.
  • Sales Data Analysis:
    • Analyze sales data and provide insights to help improve sales strategies.
    • Generate regular sales performance reports for management review.
  • Sales Meeting Logistics:
    • Coordinate and schedule sales meetings, including preparing agendas and distributing relevant materials.
    • Provide logistical support for off-site meetings, conferences, and events.
  • Proposal and Contract Preparation:
    • Assist in the preparation of sales proposals and contracts.
    • Ensure all documents are accurate, compliant, and meet company standards.
  • Customer Communication:
    • Support communication efforts with customers, addressing inquiries and providing information as needed.
    • Assist in maintaining positive customer relationships.
  • Sales Training Coordination:
    • Coordinate training sessions for the sales team.
    • Assist in the development of training materials and resources.
  • Order Processing:
    • Process sales orders accurately and in a timely manner.
    • Liaise with relevant departments to ensure order fulfillment.
  • Expense Reporting:
    • Assist sales representatives in preparing and submitting expense reports.
    • Verify and reconcile expense reports for accuracy.
  • Market Research:
    • Conduct market research to identify new opportunities and industry trends.
    • Compile and present findings to support strategic decision-making.
  • Documentation and Record Keeping:
    • Maintain organized and up-to-date records of sales documentation.
    • Ensure compliance with company policies and regulatory requirements.
  • Collaboration with Finance:
    • Work closely with the finance department to reconcile sales data and resolve any discrepancies.
    • Assist in the preparation of budgetary information related to sales activities.
  • Feedback Collection:
    • Gather feedback from sales teams regarding tools, processes, and systems to identify areas for improvement.
    • Contribute to continuous process optimization.
  • Collaboration with Marketing:
    • Work closely with the marketing department on sales collateral, social media campaigns, email blasts, etc.
    • Review all lead generation and distribute to sales team accordingly.
Skills, Knowledge and Expertise
  • Bachelor's degree in Business Administration, Marketing, or a related field.
  • Proven experience in sales administration or a similar role.
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and ability to work with deadlines.
  • Proficient in Microsoft Office Suite and CRM systems.
  • Effective communication and interpersonal skills.
