Keck Medicine of USC is Hiring an Office Coordinator - Risk Management - Full Time 8 Hour Days (Non-Exempt) (Non-Union) Near Los Angeles, CA

As an integrated part of the department, this position provides coordination of office flow and activities. Offers support in coordinating and maintaining files and data activities in an efficient manner. Provides clerical support to the department staff.

The Risk Management Coordinator (Special Projects and Education) supports the Office of Integrated Risk Management ("Risk Management Department") in furtherance of the mission, vision, and strategic goals of the Keck Medical System by supporting departmental operational activities and with administrative support tasks, including, but not limited to, scheduling meetings and debriefs, tracking and assisting with professional organizational memberships, maintaining an internal risk education library, processing invoices, tracking educations conducted by the Risk Mangement Department, answering phone calls, accepting subpoenas, filing and saving documents, and other clerical duties. The role will assist multiple staff in the Risk Management Department in planning, implementing, managing, monitoring, and documenting an integrated, comprehensive, and proactive risk department for the Keck Medical System. This role is critical to the Risk Management Department's commitment to collaborative, data-driven risk management and risk mitigation services to the Keck Medicine System. Duties may Include: -Assisting with the coordination and integration of all activities of the Risk Management Department both internally (intradepartmental, interdepartmental and enterprise-wide level), as directed. -Assisting in communication with members of the Risk Management Department regarding education needs, requests, and upcoming programs/initiatives. -Supporting external communication with the Keck Medical System and targeted departments on education needs, requests, and upcoming programs/initiatives. -Assisting the Risk Management Department with health system-wide projects (i.e., Culture of Safety, Risk/Patient Safety Education, Risk Week preparation, Literature Reviews, Maintenace and Development of the Risk Management Department Intranet Site, Lessons Learned from Near Misses and Good Catches, and Material/Presentations for requested/targeted Risk training sessions and various committees) -Providing operational support including, but not limited to, identifying and tracking risk through trend analysis of incidents, assisting with investigations of adverse events, risk assessments, audits, risk registers, prioritization of risk, risk mitigation, corrective action plans, and risk reduction strategies, conducting analysis and trending of data, assisting with formulation and implementation strategies for best practices and risk reduction strategies. Performs data entry into RMS or other pending RM software, as requested.

Essential Duties:

  • Ability to communicate effectively with co-workers in relaying information in a timely manner. Receive all calls in a professional manner.
  • Take detailed messages, determine urgency of calls, and forward them to the appropriate staff member or provider.
  • Create spreadsheets and tables, utilizing functions (formulas) and manipulating the data to retrieve desired information. Works with manager to analyze data and present to staff and provider.
  • Greets and assists customers by providing them with the information needed, contacting appropriate staff members to assist them, or taking messages for the staff.
  • Order and maintain office supplies; assist in care and maintenance of department equipment.
  • Functions as a patient advocate.
  • Participates in department Performance Improvement work team projects.
  • Works with various hospital personnel to resolve issues and accommodate patient.
  • Performs other duties as assigned.

Required Qualifications:

  • Req High school or equivalent
  • Req 2 years Coordinator experience.
  • Req Advanced proficiency with Microsoft Office applications and competent keyboarding is required.
  • Req Excellent organizational skills, detail oriented with strong ability to multi-task required.
  • Req Customer Service skills including problem resolution and patient satisfaction required.
  • Req Ability to maintain confidential information required.
  • Req Must have excellent verbal and written communication skills (including the ability to speak, read and write English proficiently.)

Preferred Qualifications:

  • Pref Bachelor's degree Health-Related Professions
  • Pref Familiarity with electronic medical records preferred.
  • Pref Familiarity with medical terminology preferred.
  • Req Experience with creating presentations.
  • Pref Experience with data analysis and trending.

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
The hourly rate range for this position is $22.00 - $34.18.
