Job SummaryThe Administrative & Communication Coordinator will create a superior client experience in our Overland Park branch office in addition to enabling smooth operations of the office, client service coordination, and effective communication initiatives. This role is indispensable for keeping financial advisor practices organized and moving tasks along. Successful fulfillment of this role will provide excellent client communication and task completion while allowing our advisors the freedom to grow the business and serve their clients. This position is non-exempt, located in our Overland Park office, and is not eligible for remote work.The Administrative & Communication Coordinator reports to the Administration and Training Manager.Responsibilities include, but are not limited to:
All administrative support for the advisor team including scheduling, document preparation support for client meetings, clerical support, in and outgoing mail and packages, travel logistics, and other tasks as assigned.
Onsite office management to include maintaining and ordering office supplies, coordinating building maintenance needs and appointments.
Maintaining accurate client information in CRM systems.
Distributing marketing material, event invitations, client gifting, and special client cards on a regular basis.
Distributing client and prospect communication including website content, social media posts, mailers, and email campaigns.
Sending out and tracking client communication such as letters and forms.
Technology and conference room setup for client meetings.
Helping bring client events logistics to completion.
Assisting advisors with paper, digital, and email filing as requested.
Front desk reception.
Depositing checks
Other duties as assigned.
