Our Assistant Project Manager works alongside Kayo's most senior Project Managers who are the creative catalysts behind the magic of Kayo events. The Assistant Project Managers support the Project Manager as they transform ideas into tangible plans and bring live experiences to life. While an Assistant Project Manager can be a long term role at Kayo, it is our hope that you will grow into a full-time Project Manager. You will support the coordination of projects across departments and sharpen your skills at managing up! As an Assistant Project Manager, you will be eager to oversee every phase of a project, from meticulous planning to putting the finishing touches on the event and tying up loose ends. You will welcome an opportunity to run with a task independently. You'll also get to travel and execute events for approximately 3-4 weeks each year, following a predictable schedule.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Support to Project Management

  • Create thorough and adaptable project plans and timelines
  • Track the plan weekly with KPIs
  • Collaborate across departments to keep projects on track and solve problems
  • Source vendors and negotiate vendor contracts
  • Design and deliver an exceptional experience at our events
  • Create and manage project budgets
  • Support all last-mile event preparations
  • Act as co-lead for on-site execution to ensure events run smoothly and exceed discerning client expectations
  • Coordinate all post-event wrap-up responsibilities
  • Conduct a thorough project post-mortem

Customer Experience

  • Design and deliver an exceptional experience at our events
  • Manage registration process, collaborating closely with marketing, sales and programming
  • Communicate directly with clients as needed
  • Anticipate questions and create FAQs to reduce the number of questions

Special Project/Event Support

  • Taking on special projects and/or supporting Product Operations team members as needed
  • Assisting during events, such as registration, logistics coordination, and on-site support.

SKILLS

  • You have an Associate’s degree in a related field and 3 years of relevant experience.
  • You possess excellent communication, leadership, and problem-solving skills.
  • You demonstrate the ability to manage multiple projects and tasks simultaneously.
  • You exhibit a fanatical attention to detail.
  • You enjoy organization and process improvement.
  • You embrace a growth mindset and are looking to evolve into a leader.
  • You are proficient in the Microsoft Office Suite.
  • You possess excellent communication and interpersonal skills, with the ability to effectively interact with stakeholders at all levels.

PREFERRED SKILLS

  • You hold a Bachelor’s degree in a related field.
  • You have 1 years of experience in project management or event management.

Job Type: Full-time

Pay: $40,000.00 - $55,000.00 per year
