Position Summary & Responsibilities:
Position Summary: Answers incoming calls to the main phone line for GHQ and directs callers to the appropriate person or section by operating a multi-line telephone console. Delivers phone messages and faxes to the appropriate personnel by email or telephone transfer. Professionally greets visitors to GHQ and directs them to the appropriate person or section. Receives incoming mail to GHQ and sorts it appropriately for pick up. Accepts all deliveries for GHQ and organizes out-going mail for FedEx, UPS, or USPS.
Creates and submits purchase requisitions for GHQ/P&GA for utilizing the Statewide Management, Accounting and Report Tool (SMaRT). Ensures purchase requisitions are routed through the system in a timely manner and follows them through to completion. Reconciles credit card statements for P&GA personnel and Public Resource Officers (PROs) with the fiscal department. This will ensure that all Kansas Highway Patrol credit card purchases are accurate and paid in a timely manner. Assists with coordinating travel arrangements for P&GA personnel and PROs and entering those expenses appropriately into SMaRT.
Makes data entries for time and activity reports submitted, utilizes various mathematical computations to check the reports for accuracy. Maintains the Patrol Personnel Directory/Roster by making changes as necessary and ensuring the information being provided is up-to-date and accurate.
Organizes all administrative duties regarding the Cadet Law Enforcement Academy, Boys State Academy, and KHP Internship Program. Maintains spreadsheets of applicants and drafts letters for notification of admittance to the program. Works with the agency graphic design specialist to create all welcome binders for the Cadet Law Enforcement Academy, certificates of achievement, graduation certificates, and graduation programs.
Partners with the PIO and Publications Writer to maintain the KHP Ride Along Program. Maintains spreadsheets and communicates with field level personnel on admittance to the program and organization of files throughout the program.
Social Media - Partners with the PIO/Publications Writer with monitoring and maintaining the KHP's social media accounts. Employee utilizes social media and the Internet to research, unveil, find, and send information about current events or recent studies of interest to senior staff and agency employees. Maintains proficiency in the use of social media and other media platforms.
Publications - Teams with the PIO and Media Department with researching, writing, and editing projects, such as grant proposals, press releases, newsletters, bulletins, columns, and articles. Assists the Media Department with the selection, research, and writing of articles for the agency's quarterly bulletin. Assists the Media Department with reviewing and proofreading publications.
Makes data entries for grant-funded enforcement activites for the Fatality Reduction Grant, STEP Campaign, STEP Corridor, STEP Aggressive Driving, Construction Zone, and multiple other data recording enforcement initiatives that are partnered with the SAFE program, NHTSA, and the Kansas Traffic Safety Resource Office.

Qualifications:
Education: High School Diploma or GED equivalent.
Licensing & Certification: Valid Kansas Driver’s License.
Necessary Special Requirements: Ability to establish and maintain effective working relationships. Ability to communicate effectively verbally in person and on the telephone and in writing with fellow employees and the general public. Demonstrated excellent written communication using correct grammar, sentence structure, and spelling. Ability to listen, comprehend and respond to fellow employees and the general public via telephone or in person. Ability to multi-task. Must possess computer skills with knowledge of publishing programs and Windows and Excel programs.
Preferred Qualifications: Formal training and/or experience with computer programs and applications associated with social media and/or publishing.
Proficiency with Windows based systems, SMaRT, PowerDMS, Microsoft Excel and Microsoft Word programs. Proficiency with publications programs. Proficient in social media applications and platforms.
Minimum Requirements: Two years of experience in general office, clerical and administrative support work.
Post-Offer, Pre-employment Requirements: Must submit to and pass a thorough background check including fingerprints.
Ability to sit, walk, stand, stretch, twist, reach out with body, arms and legs; listen, comprehend, respond, speak clearly and concisely in person and on the telephone; repeatedly bend, stoop, lift lightweight materials up to 40 lbs, sit for long periods of time, move in confined areas, and perform repetitive motions with one or more extremity.
