Job Summary
Performs a variety of Case Aide tasks related to rendering of para-professional support for all Family Service departments and adhere to State and Federal statutes to pass performance reviews and maximize incentives. Performs related duties as assigned.
Some Examples of Essential Duties & Competencies
  • Apply and assist to get eligibility and funding for clients.
  • Maintain complete and accurate records of client eligibility.
  • Reviews case records for completion of required agency forms.
  • Communicates with clients, other professionals, and other agency staff regarding family service programs.
  • Meet clients to obtain and verify necessary factual information and answer program questions.
  • Makes contact with community resources as assigned.
  • Responds to initial complaints of clients.
  • Clerical functions, data input, scanning daily mail into electronic case management system and accurately maintaining client records, and scheduling appointments for clients.
  • Performs statistical operations relevant to agency program procedures.
  • Composes correspondence and constructs multiple reports.
  • Billing
  • Check all vouchers and invoices for accuracy.
  • Create and prepare vouchers and invoices as required.
  • Other duties as assigned including but not limited to:
  • Preparing, updating and development of new forms for packets.
  • Maintaining testing schedules and tracking of supplies.
  • Maintain files and review for compliance.
  • Backup office support by providing front desk coverage.
  • Transportation of clients and supervision of visits as directed by social service staff.
  • Genetic testing for the county and courtesy testing for other counties.
  • Attend meetings and trainings.
  • Manage social welfare budgets.
  • Support and assist social workers for child and foster care licensing.
  • Attend court hearings to document/notate best interest statements.
  • Perform intake across various units.
  • Participate in and prepare for various state-conducted program audits.
  • Assist with training new employees.
Qualifications
  • High school diploma plus 2 years clerical schooling
  • Two years experience
Knowledge, Skills & Abilities Desired:
  • Thorough knowledge of agency programs, policies and procedures and the ability to interpret written materials.
  • Ability to communicate effectively, both orally and in writing, with a wide range of individuals and professionals.
  • Ability to accurately enter data in computer base systems.
  • Ability to make decisions based on procedures and regulations.
  • Ability to act independently and self-sufficiently with minimal supervision.
  • Ability to use telephone, copy machine, computer, calculator, fax, postal machine, desktop scanner, dictation device and vehicle.
  • Ability to work efficiently under pressure.
  • Knowledge of Minnesota Data Practices Act as it pertains to the activities of the unit.
  • Knowledge of the data bases maintained by federal, state and county jurisdictions and the flow of information between these systems.
  • Knowledge to access, change and print relevant information (MAXIS, MMIS, PRISM, DMV, Experian and CaseWorks, DEED/MNSure, MEC2, SSIS, MR&C, MN-ITS, EBT, Microsoft Office, MN Choices, Elici, NetStudy2, AppXtender, and Adobe Pro).
  • Knowledge of human behavior
  • Ability to handle frequent public contact including individuals with mental health issues, uncooperative attitudes, anger issues, and transporting clients to appointments.
  • Ability to maintain effective relationships with individuals from all cultural, occupational, and socioeconomic backgrounds.
  • Ability to handle confidential information with discretion.
  • Ability to prioritize, organize, process and complete high volumes of work in an accurate and timely manner.
