Kabila Events is Hiring an Event Coordinator (hybrid) Near Philadelphia, PA

Job Description:

As the Event Coordinator, you'll play a crucial role in shaping our events journey. You'll be the architect behind a wide range of events, from dope product launches to captivating cultural and promotional events, ensuring each one leaves a lasting impression.

An Event Coordinator must be well-organized and competent in vendor management. Communication skills and attention to detail will set apart the best among the candidates. Add a shot of enthusiasm and passion for the job and you’ll be our ideal candidate.

Key Responsibilities:

  • Managing vendor relationships and negotiating contracts
  • Effectively managing event budgets and tracking expenses will be your domain. You'll keep a tight rein on finances, providing regular financial reports to stakeholders to ensure transparency and accountability.
  • Monitoring and evaluating the effectiveness of each event is key to our continuous improvement. Gathering feedback from attendees and stakeholders, you'll extract valuable insights to inform future planning and enhancements.
  • Preparing post-event reports detailing key metrics, successes, challenges, and recommendations for optimization will be your final act.
  • Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost
  • Oversee the setup, execution, and breakdown of events on the day of the event. Coordinate with vendors, staff, and volunteers to ensure seamless execution of the event plan and timely resolution of any issues or emergencies.
  • Do final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards
  • Analyze the event’s success and prepare reports

Qualifications:

  • A proven track record of organizing successful events
  • Proficient in MS Office
  • Excellent vendor management skills
  • Knowledge of basic recruitment practices
  • Outstanding communication and negotiation ability
  • Well-organized with multi-tasking skills
  • Able to handle stress and remain calm
  • Degree in hospitality management, public relations or relevant field is preferred

Work Environment

This role is primarily remote with the expectation for the team to attend special events and limited in-person meetings. Required Travel: 25%

Term

The term of this Temporary Contract shall start on Monday June 3, 2024 to Friday, September 27, 2024.

Compensation

The compensation for this role is based on a monthly compensation agreement. Payment will be distributed on the 3rd week of every month upon receipt and confirmation of hours. The total compensation for this contract is $1,200.

Accommodations

This opportunity may require physical demands (e.g. climbing stairs, carrying, lifting, standing for long periods of time, etc.) as the actions are essential functions to the role. Reasonable accommodations can be made to enable individuals with qualifying disabilities to perform essential functions.

Hours of Work

The Contract hours of work shall be Monday to Friday at hours decided by the contractee. The ordinary working hours shall not go over 4 hours per week, not including a virtual weekly team meeting.
