Job Overview:
Juventus Academy NY is currently seeking a skilled Club Secretary to join our dynamic team. As a Club Secretary, you will play a crucial role in providing administrative support and ensuring the seamless operation of our office. The ideal candidate will have prior experience in a youth soccer club setting and possess strong organizational and communication skills.

Responsibilities:

  • Coordinate and manage club communications with families, partners, and staff
  • Schedule games, handle player registrations, and process payments efficiently
  • Foster and maintain relationships with club president, including managers, coaches, players, and families
  • Manage incoming calls and emails, directing them to the appropriate personnel
  • Ensure adherence to league rules and regulations, including player eligibility, safety protocols, and disciplinary procedures
  • Track program payments and generate customer invoices
  • Create player cards for new registrants using gotsport/leagueapps
  • Oversee inventory of uniforms, manage new orders, and coordinate delivery to staff, players, and families
  • Organize club events such as tournaments, fundraisers, and awards ceremonies
  • Welcome players and families during/after tryouts, providing necessary information and assistance
  • Maintain accurate calendars for club programs and staff hours, ensuring timely communication with participants
  • Post job openings, screen and evaluate potential candidates for the club
  • Conduct onboarding training for newly hired staff
  • Facilitate regular staff meetings on a weekly/bi-weekly basis
  • Assist with data entry and upkeep of computerized records
  • Prepare and distribute correspondence, memos, and reports as required
  • Manage inventory of merchandise supplies and place orders as needed
  • Generate payroll reports for company employees
  • Demonstrate ability to work independently or collaboratively as part of a team, meeting deadlines consistently
  • Perform general clerical duties such as photocopying, scanning, and filing documents
  • Support other administrative tasks as delegated

Qualifications:

  • Proven experience as a Secretary or in a similar administrative role
  • Excellent written and verbal communication skills in English and Spanish (proficiency in Italian is a strong asset)
  • Familiarity with office procedures and equipment
  • Proficiency in Microsoft Office or similar software for document management
  • Strong phone etiquette and interpersonal abilities
  • Exceptional organizational skills with the ability to manage multiple tasks efficiently
  • Attention to detail and accuracy in data entry and record-keeping
  • Ability to handle confidential information with discretion
  • Previous experience in a youth soccer club organization is advantageous
  • Must be authorized to work in the US and currently residing near Randall's Island

This is initially a part-time position but can transition into a full-time role based on meeting company targets.

Job Type: Part-time

Pay: $18.00 - $22.00 per hour

Expected hours: 20 – 40 per week
