Position Overview

We are seeking a motivated and customer-oriented Part-Time Community Administrator to join our team. The Community Admin will play a pivotal role in supporting our attorney members and ensuring the smooth operation of our coworking space. They will serve as the initial point of contact for members working in the space and for booking, support, and account management requests. The Community Admin will be a part of our Operations team and will report to our Director of Operations. Due to the in-person responsibilities of the job, it is encouraged that the candidate lives near the HQ (591 Camino de la Reina, San Diego, CA, 92108) and/or is confident and comfortable with the daily commute. This position requires a minimum commitment of 30 hours per week.

Responsibilities

Member Support

  • Serve as the primary point of contact for attorney members, addressing inquiries, requests, and concerns with professionalism and efficiency.
  • Provide exceptional customer service by greeting members and guests, answering phone calls, and responding to emails promptly.
  • Assist with onboarding new members, including providing tours of the facilities, explaining amenities, and facilitating the setup of accounts and amenities.

Calendar Management

  • Manage meeting room reservations and ensure accurate scheduling through our booking system.
  • Coordinate with members to accommodate their meeting and event needs, including setting up audiovisual equipment and problem solving in real-time.

Inventory Management

  • Monitor and replenish office and kitchen supplies to ensure availability for members.
  • Conduct regular inventory audits and place orders for supplies as needed, adhering to budgetary guidelines.
  • Coordinate with vendors and service providers for the delivery and maintenance of other amenities.

Administrative Support

  • Assist with administrative tasks, such as processing mail and packages, managing member accounts and payments, and maintaining accurate records and documentation.
  • Collaborate with the Member Success team to plan and execute member events, workshops, and networking opportunities as needed

Qualifications

  • Excellent interpersonal and communication skills, with the ability to interact effectively with attorneys and staff at all levels.
  • Strong organizational and multitasking abilities, with a keen attention to detail and the ability to prioritize tasks in a fast-paced environment.
  • Proficiency in Microsoft Office suite and familiarity with scheduling and booking software preferred.
  • Positive attitude, proactive mindset, and a commitment to delivering exceptional service to members.
