JS Construction Group, inc. is a locally owned and operated construction and building maintenance company who works directly with property management companies in the Tristate area for over 25 years.
We are looking for an Office Manager to organize, coordinate and manage administration duties, office procedures, and day-to-day office needs. The Office Manager will work closely with the Management Team and have a diverse set of duties and responsibilities, which include:
Client Services
o Answering and corresponding to incoming phone calls and emails
o Scheduling meetings and appointments
o Weekly follow-up with clients on outstanding balances
Project Management
o Draft proposals for clients and coordinate estimates and invoices
o Request and maintain insurance certificates for new and ongoing projects
o Enter change orders and AIA Payment Requisition billing to clients and follow-up
o Organizing DOB/ DOT NYC Department permits
o Handle expense reports and budgets
Administrative
o Maintain office files and records, inventory and ordering of supplies and other administrate duties
o Act as liaison between supervisor and others (i.e. clients, external contacts, internal contacts, subcontractors, vendors)
o Organize office operations and procedures
o Assist with special projects as directed
o Other duties as assigned
Skills
o Previous experience as an Office Manager or Office Administrator is preferred
o Proficient in MS Office (MS Excel and MS Outlook, in particular), QuickBooks, scheduling
o Background in Construction preferred
o Excellent time management skills and ability to multi-task and prioritize work in a fast pace environment
HOURS
Monday – Friday, 9am-5pm
