Job Summary: Supervises and coordinates activities of office staff. Keeps the physician(s) informed of both progress and potential problems. Assists with the direction and evaluation of patient care delivery. Ensures office/clinic supplies are at an adequate level; places orders as necessary.

Demonstrates Competency in the Following Areas:

Supervises work assignments. Prepares work schedules and makes job assignments as needed.

Files electronic and/or paper insurance claims.

Greets and registers all patients as they enter the facility; gives new patients medical forms to complete.

Verifies patient demographic and insurance information and eligibility. Performs prior authorizations for scheduled surgical procedures and inpatient admissions.

Schedules new and return appointments; explains registration process and gives directions to new patients; schedules medical tests.

Answers the telephone in a professional and courteous manner; takes messages; directs calls to appropriate staff members.

Files lab, test, and x-ray reports as well as outside records. Maintains patient medical records.

Corrects, amends, and re-bills rejected and denied insurance claims.

Documents all billing remittance advise activities. Performs follow-ups on unpaid insurance accounts.

Accepts patient payments.

Conducts staff annual performance evaluations with input from physicians/Administration, conducts evaluations for new staff prior to completion of probationary period.

Prepares reports and statistical data when requested.

Responsible for resolving patient complaints.

Enforcement of standards of behaviors with office employees.

Processes and posts refund requests to appropriate insurance and/or person.

Assists with patient questions, complaints regarding care, billing, etc.

Monitors utilization of equipment and supplies; orders supplies as needed.

Evaluates unpaid accounts and refers to collection as appropriate.

Works on payment arrangements with self-paying accounts.

Provides information to attorneys, physicians’ offices, collection agencies, etc. as provided in hospital policy in a timely manner.

Effectively maintains all required records for the office/clinic; demonstrates good organizational skills.

Works with the medical staff to coordinate medical and nursing management of patient care.

Demonstrates the ability to be flexible, organized and function under stressful situations.

Acts in a courteous, helpful, and dignified manner and insures clinic provides excellent customer service.

Performs other duties as assigned.

Requirements:

Professional Requirements:

Adheres to dress code, appearance is neat and clean.

Manages the clinic in compliance with policies and procedures of the clinic and hospital regulations or applicable regulatory agencies.

Maintains and ensures patient confidentiality at all times.

Reports to work on time and as scheduled.

Wears identification while on duty.

Attends annual review and performs departmental inservices.

Works at maintaining a good rapport and a cooperative working relationship with physicians and staff.

Represents the organization in a positive and professional manner.

Attends committee, CQI and management meetings, as appropriate.

Maintains knowledge of current insurance billing requirements.

Resolves staff concerns utilizing the grievance process as required.

Complies with all organizational policies regarding ethical business practices.

Regulatory Requirements:

  • Bachelor’s Degree in Business Administration is preferred
  • Three to five years of experience in a clinic, one (1) year management/supervisory experience.
  • Ability to work with physicians in a collaborative manner.

Language Skills:

  • Able to communicate effectively in English, both verbally and in writing.
  • Excellent communication skills.
  • Additional languages preferred.

Skills:

  • Basic computer knowledge.

Physical Demands:

  • Normal clinic environment. Close eye work. Hearing within normal range. Operates computer, typewriter, copier, calculator, telephone, fax machine, and general office equipment. Continuous sitting. Occasional standing, walking, and bending within the work areas. Minimal lifting up to 40 pounds.
