The Store Operations / Personnel Manager reports directly to the Director of Operations – Long-Term Care (DOO-LTC).

Job Overview

The Store Operations / Personnel Manager is responsible for overseeing all day-to-day workflow and production operations of the pharmacy and supervising all pharmacy personnel. In addition, the Store Operations / Personnel Manager is responsible for implementing and overseeing procedures in order to maintain appropriate product inventory levels.

The Store Operations / Personnel Manager:

Oversees all pharmacy personnel including pharmacists, pharmacy interns, and pharmacy technicians and holds them accountable to established workflow and production measures.

Promotes and maintains the highest level of customer service and creates/maintains a work environment that encourages employee satisfaction and retention alongside pharmacy profitability.

Implements and maintains procedures, in coordination with the DOO-LTC, that promote appropriate inventory levels at all times, as defined by the John’s Pharmacy Leadership Team/DOO-LTC.

The Store Operations / Personnel Manager must maintain full-time employment status (approximately 40 hours per week).

Approximately 4 working days per week are spent in pharmacy workflow to ensure all production measures are met and personnel are held accountable for completion of their assigned tasks.

Time in workflow is spent hands-on, supporting various departments/positions in pharmacy workflow, ensuring production metrics and timelines are met at all times.

Approximately 1 working day per week (or adequate time determined by the DOO-LTC) must be spent as a management day/employee one-on-one meeting day.

Time invested should not exceed a total of one (1) working day per week, unless approved by the DOO-LTC, and can be divided into different days of the work week.

May include limited weekend and evening shift coverage based on business needs, current staffing, and production measures.

Responsibilities and Duties

The Store Operations / Personnel Manager:

Exemplifies and promotes the John’s Pharmacy Purpose and leads by example demonstrating John’s Pharmacy Core Values at all times.

Supervises all day-to-day pharmacy operations including filling and delivery of prescriptions and completion of clinical services/MTM as performed by staff pharmacists/technicians.

Is the expert at understanding and managing the daily production board/production metrics and ensure production stays on schedule in all areas/departments of the pharmacy at all times.

Ensures all federal, state, and local laws and regulations regarding pharmacy operations, pharmacy personnel, and licensing are being followed at all times in coordination with the Pharmacist-in-Charge.

Directs pharmacy personnel within pharmacy workflow, with the assistance of staff pharmacists and senior technicians, to ensure sufficient workflow coverage.

Ensures all controlled substances are handled in compliance with federal, state, and local laws, as well as established John’s Pharmacy policies and procedures in coordination with the Pharmacist-in-Charge.

Enforces established policies and procedures of John’s Pharmacy regarding pharmacy operations and employee behavior and as stated in the John’s Pharmacy Employee Handbook.

Assists in creating and updating pharmacy policies and procedures and workflow changes when appropriate, in coordination, and with approval of, the DOO-LTC.

Creates weekly staff pharmacist and pharmacy technician work schedules and maintains a rotating weekend/holiday schedule for staff pharmacists and pharmacy technicians when applicable.

The DOO-LTC must approve weekend/holiday rotations as well as on-call pharmacist coverage.

Approves time off requests made by technicians and pharmacists, verifying there is adequate coverage to do so.

Ensures proper pharmacist coverage in coordination with the DOO-LTC and Executive Director of Operations.

Manages appropriate inventory levels for the pharmacy as determined by John’s Pharmacy Leadership, including returns of excess inventory and expired medication, in coordination with pharmacy technicians and staff pharmacists.

Oversees accurate ordering of drug inventory for the pharmacy.

Routinely reviews prescription margin reports to ensure pharmacy profitability and minimize losses in coordination with the DOO-LTC.

Ensures staff pharmacists are evaluating prescription margin/losses during the prescription verification process in day-to-day workflow.

Knows, understands, and promotes established pharmacy goals.

Works with technicians and DOO-LTC to track, monitor, and achieve stated pharmacy goals.

Resolves customer concerns unsolved by pharmacy technicians/pharmacists that satisfies both the needs of the patient and the pharmacy needs.

Works directly with the Community Relations Specialist and DOO-LTC to ensure continuous quality improvement and community satisfaction.

Relays concerns to the DOO-LTC and Director of Human Resources regarding employee performance and training needs, when appropriate.

Ensures routine completion of internal pharmacy audit reports in coordination with the Pharmacist-in-Charge.

Reduces audit risk by promoting accuracy and verifying completion of prescription return-to-stock policies and procedures as performed by pharmacy technicians and staff pharmacists.

Maintains a quality assurance/error log in accordance with established John’s Pharmacy policies and procedures to identify areas of improvement and implement changes to workflow to prevent future error events.

Promptly communicates all appropriate information to pharmacy technicians and staff pharmacists regarding pharmacy operation and workflow changes.

Contributes content to the John’s Rx communication platforms as appropriate.

Promptly relays PBM audit requests according to established John’s Pharmacy policies and procedures and works with the DOO-LTC to accurately gather all requested documentation in a timely manner, ensuring all documentation is thoroughly reviewed, complete, and accurate.

Communicates PBM audit findings to the pharmacy team for continuous quality improvement.

Participates in hiring interviews in coordination with the Director of HR (and DOO-LTC when appropriate) when adding personnel to the pharmacy team.

Directly interacts with the following supervisors: DOO-LTC, Director of Human Resources, and Delivery Driver Supervisor.

Works with the DOO-LTC and Director of HR to ensure that staff pharmacist and technician job descriptions are current and accurate.

Works with Director of HR and DOO-LTC to ensure successful onboarding and all training requirements are met after employee hiring.

Handles employee disciplinary issues, and when necessary, coordinates handling of these issues with the Director of HR.

Provides constructive, timely feedback to the pharmacy staff regarding employee performance/behavior.

Conducts routine employee evaluations for technicians and staff pharmacists in coordination with the Director of Human Resources and DOO-LTC.

Participates in weekly one-on-one meetings with pharmacy team members using established one-on-one meeting format and maintains documentation.

Handles discipline and termination of direct employees in accordance with company policy and in conjunction with the Director of HR and DOO-LTC.

Provides feedback/insight to the DOO-LTC and Community Relations Specialist regarding marketing campaigns/ideas.

Works with the Delivery Driver Supervisor to resolve employee/delivery driver issues and customer/facility concerns regarding delivery services.

Contributes and presents information during routine team meetings and organizes staff pharmacist meetings in coordination with the DOO-LTC when appropriate.

Identifies pharmacy operation/employee training improvement opportunities and communicates recommendations to the DOO-LTC and Director of HR for potential implementation.

Maintains confidentiality and professionalism at all times.

Reports all facility maintenance needs to the Maintenance Technician for prompt resolution.

Understands and supports pharmacy compounding and personalized pharmacy solutions offered exclusively by John’s Rx.

Ensures additional pharmacy service platforms (iPLEDGE, Outcomes, PDMP, ShowMeVax, Amplicare, etc.) remain active and logins are maintained in coordination with the DOO-LTC.

The Store Operations / Personnel Manager, John’s Rx has authority to:

Recommend amendments to company policies

Approve or deny technician and staff pharmacist time-off requests and employee timesheets

Ensure company policies and procedures are being consistently and fairly enforced and take appropriate action if they are not

Address employee issues and bring related concerns to the attention of the Director of HR for disciplinary action

Participate in the hiring and recruiting process for technicians and staff pharmacists on their pharmacy team

Determine if any financial loss on a prescription claim is appropriate

Make decisions regarding any day-to-day pharmacy operations not listed in the should seek approval before section of this document

The Store Operations / Personnel Manager, John’s Rx should seek approval (from the DOO-LTC) before:

Changing an existing, or implementing any new, policy or procedure

Terminating or hiring an employee

Changing pharmacy operating hours

Offering overtime to hourly pharmacy employees

Entering any contract on behalf of John’s Pharmacy

Executing a business purchase outside of routine day-to-day pharmacy purchases

Qualifications

Education: Bachelor’s degree with management emphasis preferred

Experience: Minimum of two years management experience
