Bilingual Legal Receptionist Job Description

We are looking for a versatile Bilingual (En/Sp) legal receptionist to run our reception department.

In this role, you will be required to welcome visitors and answer calls mostly in Spanish and English. As part of our receptionist team, you will be part of “the gatekeepers” of our Firm.

This is a vital and very important role of the Firm as you will often be the first person with whom clients and visitors interact, making you a crucial part of the image of the firm. Because of this, we ask you to always maintain a polished, professional, and welcoming demeanor. To ensure success as a legal receptionist, you should exhibit excellent communication skills and competency in general office administration. Outstanding legal receptionists are polished professionals who create a positive first impression.

Bilingual Legal Receptionist Responsibilities:

Observing business etiquette and maintaining a professional appearance.

Managing and maintaining the cleanliness and overall appearance of the reception area.

Welcoming clients and visitors upon arrival.

Answering, screening, and forwarding phone calls in a professional manner.

Assisting clients and visitors with the location of legal staff, restroom, etc.

Scheduling, rescheduling, and confirming appointments.

Directing the flow of mail, faxes, and deliveries to reach the intended recipients.

Managing the maintenance and repair of office equipment.

Assisting with copying, scanning, faxing, emailing, texting via CRM, note-taking, and travel bookings.

Preparing meeting facilities, and arranging refreshments, if required.

Ordering and replenishing office supplies.

Bilingual Legal Receptionist Skills & Personal Traits

Since the receptionist are often a visitor’s first business contact with the Firm, a professional appearance and polished demeanor are very important. Also, excellent phone communication & email management skills are a must. We are looking for someone who's highly organized, and great with time management and multi-tasking. Computer literacy, strong typing and data management skills are a must. Experience in the legal industry preferred but not at all a deal-breaker.

A successful applicant must be FLUENT IN ENGLISH AND SPANISH and possess excellent interpersonal and customer service skills to communicate with clients, senior level attorneys, partners, opposing counsel, court reporters, vendors, staff, and others. He or She must also have the ability to operate multi-line telephone systems and office equipment such as computers, printers, scanners, copiers and video conferencing equipment.

Other requirements are:

High school diploma or GED (MUST).

Formal qualification in office administration, secretarial work, or related training.

Excellent written and verbal communication skills.

Extensive experience working with word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems.

Exceptional interpersonal and communication skills.

Qualification in paralegal studies or similar preferred.

Prior experience as a legal receptionist will be advantageous.

Familiarity with legal terms, legal documents, and filing (Preferred).
