UBMD Neurology is Hiring a Director of Clinical Operations Near Buffalo, NY

UBMD Neurology provides comprehensive neurological evaluation, diagnosis and management for adults and children with a wide variety of neurologic disorders. With locations in Buffalo and Williamsville, we offer a full range of procedural services including EEG, EMG, adult and child neuropsychologic testing, an infusion clinic for intravenous therapies and neuroimaging interpretation. We are closely allied to two Kaleida Health hospitals, Buffalo General Medical Center and Oishei Children's Hospital.

Job Summary: The Director of Clinical Operations (DCO) will provide day-to-day oversight of clinical operations and staffing. Will be responsible for planning and implementing of new processes, establishing quality standards and ensuring/maintaining compliance. Will manage, supervise and train staff to achieve quality metrics and exceptional patient satisfaction and safety to meet or exceed organizational expectation.

Essential Functions:·

  • Overall direct supervisor of nurse and office supervisors to include time/attendance, performance review/management, recruitment efforts, corrective action, etc. Indirect supervision of all staff under the supervisors.
  • Works closely with the Chief Operating Officer, CFO/Practice Plan Administrator and Medical Directors to identify areas of weakness; makes recommendations and modifications appropriate to improve, optimize and streamline processes and workflows to achieve financial, quality and activity targets to align with yearly payer initiatives and adjustments.
  • Works closely with CEO, CFO and Medical Directors in all aspects of clinical operations (i.e. identifying needs, resources, improvement, processes, etc.).
  • Collaborates with CEO, CFO and Medical Directors regarding clinical information, staffing, etc. to support contracting strategies, business plans, space planning, inventory, etc.
  • Monitors and evaluates appropriateness and effectiveness of facility quality improvement processes.
  • Works with the UB Office of Medical Computing on development, maintenance and issues related to electronic medical records.
  • Owner of process improvement to ensure optimization of patient workflow (i.e. working with clinics on varying hours, session cancellations, processes, availability, etc.).
  • Responsible for implementing, revising and updating standard operating procedures, policies, etc. for each site and education staff on changes and revisions as needed.
  • Works with appropriate supervisors to ensure that clinics are compliant with quality assurance, OSHA, HIPAA, infection control, safety and other policies. Coordinates with nursing staff on ensuring certifications (i.e. OSHA, infection control) are up to date for staff.
  • Collaborates and works with internal and external administrative staff on initiatives to achieve UBMD Neurology’s strategic goals and objectives aimed at creating a great patient experience. Reviews established standards of the practice of patient care and makes necessary changes in order to maximize the value of services.
  • Collaborates with billing department on efficiencies (i.e. ensuring notes are completed promptly, charges are sent in a timely manner, etc.).
  • Receives, handles and investigates complaints and responds to patient quality of service concerns, performing follow up as necessary and consults with other health team members as appropriate.
  • Assists clinics with staff and physician schedules as needed and ensures that schedules are optimizes.
  • Manages oversight of inventory and supply chain responsibilities.
  • Ability to work at least 37.5 hours per week on a regular basis, except during times when paid time off is requested and approved.
  • Complies with all OSHA regulations when in a clinic setting.
  • Adheres to HIPAA and confidentiality policies and procedures.
  • Required to travel to other UBMD Neurology locations.

Other Functions:

  • Responsible for providing assistance and direction for other clinical activities through UBMD Neurology as needed and/or requested.
  • Monitors and evaluates appropriateness of facility quality control plans and practices.
  • Participates in the planning, development, coordination and presentation of specific training and educational programs as appropriate to the quality assurance needs of the clinic and/or organization.
  • Conducts individual and joint clinic staff meetings on a regular basis.
  • Reviews company email on at least a daily basis in order to receive and address notifications and/or other pertinent information in a timely manner.
  • Any other duties as requested or assigned by the CEO and/or other management representative. Duties, responsibilities and activities may change or new ones may be assigned at any time with or without notice.
  • Work hours may fluctuate depending on company/clinic needs.

Qualifications:

  • Education: Associate’s degree required, Bachelor’s degree preferred (preferably in Healthcare Administration or Business Administration). May also be an LPN or RN in lieu of a degree. LPN must have administrative and managerial experience in a healthcare setting.
  • Experience: Minimum of 5 to 7 years of management/supervisory experience required, preferably in an outpatient/ambulatory setting.
  • Knowledge, Skills & Abilities: Must have strong initiative. Must be organized and able to effectively multi-task. Excellent communication skills required. Must demonstrate leadership and change management abilities. Experience and proficiency in electronic health records required. Experience with computer applications including Windows. Experience in database analytics to identify and run reports related to incentive reimbursement, auditing of health records, etc.
  • Must have a valid NYS driver’s license and meet applicable insurance company standards.

Working/Environment Conditions:

  • Position is in a well-lit, fast-paced, clean office environment.
  • Office noise level will be mild to moderate most times.
  • Moderate/average indoor temperatures.
  • Occupational/bloodborne pathogen exposure is possible due to contact with surfaces or items which may be contaminated with blood, other body fluids or tissues.
  • Travel to various sites via use of personal vehicle.

  • Ability to uphold the stress of assisting patients and staff of diverse backgrounds.
