Jeffrey Allen Golf Cars is Hiring a Parts Purchasing Manager Near Tampa, FL

Jeffrey Allen Inc is one of the world’s largest dealers of golf carts & utility vehicles, with 3 locations in Florida, serving both commercial and residential customers. We are a family owned and operated business with over 50 years in operation. We are a multi-faceted sales and distribution operation with distinct divisions that each require their own unique approach to sales and operations: Commercial/B2B Sales, Consumer/B2C Sales, Service, Parts Distribution, Rental, and Transportation.

We are currently seeking a Parts Purchasing Manager to oversee and execute all parts stocking and purchasing strategies throughout the company including OEM parts, and wholesale distribution product lines. The Parts Purchasing Manager compiles, reviews, and submits parts orders on a daily basis for three dealership locations and multiple vendors.

This role is responsible for all Parts Departments processes and procedures, reports on team performance and process effectiveness, and ensure compliance from all Parts Department employees at all locations. The Parts Purchasing Manager analyzes inventory levels, reporting, pricing structures and implements strategic action plans to ensure compliance and profitability.

Core responsibilities:

  • Compiling, reviewing, and submitting parts orders on a daily basis for three dealership locations and for multiple vendors
  • Compiling, reviewing, and submitting all special orders and urgent orders on a daily basis
  • Compiling, reviewing, and submitting all store transfer requests on a daily basis
  • Data analysis, inventory planning and forecasting to ensure adequate on-hand stock levels of the highest volume parts at all three location
  • Ordering to ensure adequate stock levels of parts for all locations
  • Negotiating prices and terms with vendors to maximize profitability
  • Sourcing alternative vendors and products to maximize profitability
  • Preparing and publishing regular reports to store staff and senior leadership regarding sales, stocking levels, profitability, shrinkage, etc
  • Managing all parts SKU data in ERP system including pricing, replacements / obsoletes, recommended stock levels, order codes, vendor data, etc
  • Monitoring and analyzing inventory levels of obsolete and slow-moving parts, then implementing strategies to liquidate these
  • Analyzing and preparing reports for senior management on upcoming manufacturer price changes, with competitor comparisons and assist in creating a go-to-market pricing strategy
  • Managing all backorders through continuous follow-up (and alternative sourcing when needed) and keeping all Parts Dept team members informed of backorder status and ETA
  • Preparing, analyzing, and publishing weekly sales reports from all three locations to find billing errors, costing or pricing issues, and Parts staff training opportunities
  • Compiling, reviewing, and submitting RMA’s / RGA’s to vendors to return unused or defective products; managing the refund process with continuous follow-up
  • Compiling, reviewing, and submitting damage/missing item reports to vendors; managing the fulfillment process with continuous follow-up
  • Receiving and processing orders from a handful of direct drop-shipped customer accounts, submitting these orders to manufacturers, managing the fulfillment and invoicing process
  • Planning and coordinating schedules with all three stores for weekly/monthly/quarterly Parts cycle counts
  • Planning and coordinating schedules with all three stores for annual Parts full inventory count. Personally supervising and directing the preparation for, and execution of, the annual Parts full inventory count at all three locations (this requires several days on site)
  • Travelling to all three stores occasionally
  • Train new Parts Dept team members in company processes and procedures, sales and pricing policies, inventory control policies, and software systems (ours and manufacturer’s)

Requirements:

  • Very strong attention to detail and high level of accuracy
  • Very strong computer skills, especially Excel and Outlook (experience with Microsoft Dynamics inventory/ERP is a plus)
  • Exceptional personal organization and time management skills
  • Ability to work well under pressure with time sensitive projects and be deadline-oriented
  • Ability to multitask effectively
  • Ability to communicate effectively, both verbally and in writing
  • Ability to travel occasionally
  • Excellent mathematical reasoning and logic skills
  • Good judgment and decision-making
  • Positive attitude and good teamwork
  • Good understanding of inventory control practices like cycle counts, bins, will-call, etc
  • General understanding of basic financial reports such as Profit & Loss Statement and Balance Sheet
  • “Whatever it Takes” attitude and ability to work well with a team
  • Must pass a background check
  • Must possess a valid current Florida driver’s license and satisfactory driving record

Educational and Experience Requirements:

  • High school diploma (or equivalent certificate)
  • 3 years of work experience in purchasing/procurement
  • Experience purchasing in a distribution or dealership environment is preferred
