Position Summary:
The Dental Supervisor oversees the daily operations of the dental clinic, ensuring the delivery of high-quality care to patients in a timely and efficient manner. The responsibilities encompass supervising dental staff, coordinating schedules, and upholding a safe and hygienic work environment. Additionally, this role may engage in administrative duties such as billing, inventory management, and ensuring compliance with regulations.
Essential Activities:
1. Supervision and Leadership:
a. Provide direct supervision, establish priorities, and offer support to all staff under this position's purview.
b. Conduct regular meetings with dental staff to maintain service consistency across programs.
c. Collaborate with team members to address program and personnel issues, offering solutions and support.
d. Conduct Workforce Development Reviews with individual employees, summarizing key points and providing feedback.
e. Review staff training needs and submit training requests as necessary.
f. Attend management and board meetings upon request.
g. Participate in the recruitment, selection, and training processes for Dental Team Members.
h. Identify contract and/or grant opportunities for the dental program.
2. Customer Service and Patient Care:
a. Ensure all staff effectively demonstrate customer service skills as per training standards.
b. Guarantee a positive experience for all patients, fostering care and compassion in treatment.
3. Clinical Procedures and Policies:
a. Maintain current clinical procedures and policies, ensuring adherence across the board.
b. Generate and analyze operational reports to identify opportunities for enhancing operations.
c. Work alongside the Clinical Services Manager to ensure compliance with clinical safety standards.
4. Operational Efficiency and Support:
a. Collaborate with the Clinical Services Manager to devise workflow processes aimed at enhancing operational efficiencies and provide operational support as necessary.
b. Supervise the procurement of supplies and manage inventory effectively.
c. Participate in meetings with the billing department to ensure accurate billing to optimize collections.
d. Ensure contract and grant deliverables are being met and comply with all reporting guidelines.
5. Community Engagement:
a. Cultivate positive relationships with community partners, providing information and education on oral hygiene, and addressing concerns with enthusiasm and empathy.
b. Establish and nurture favorable working relationships with community leaders and contacts to ensure the fulfillment of community dental needs.
c. Conduct feasibility and needs assessments for potential new business areas; oversee operational setup for new ventures as required.
d. Collaborate on the design, planning, and launch of upcoming clinic locations.
e. Engage in community events and committees as delegated.
f. Act as a liaison to Dental Schools to facilitate student rotations as appropriate.
6. Quality Assurance:
a. Perform quality assurance checks on a daily, weekly, or monthly basis.
b. Communicate any personnel or program issues to the Manager.
c. Evaluate programs for quality improvement initiatives and implement as needed.
7. Task Management and Compliance:
a. Ensure staff adherence to CDC guidelines and ADA recommendations for infection control.
b. Monitor and ensure the completion of assigned tasks by all employees under your supervision, documenting both positive and negative issues.
c. Review employees' time records using Paylocity:
i. Identify and rectify any errors, working with employees to make corrections.
ii. Approve timesheets and time off requests.
iii. Adjust clinical schedules based on time off requests and staffing needs.
d. Extract and revise monthly reports from dental health records, transferring data into Excel spreadsheets for accounting or board reporting purposes.
e. Manage and maintain patient records and related documentation in accordance with JCHD policies, HIPAA, and relevant regulations, ensuring accuracy and timeliness.
f. Maintain state regulatory records as mandated.
g. Manage records for medical waste disposal in alignment with local, state, and federal regulations.
Foundational Capabilities:
Comprehensive Skills: Possess a comprehensive understanding of all aspects of dental operations, including familiarity with regulatory requirements. Preferred qualifications include experience in dental operations start-up and collaboration with dental schools. Proficiency in Microsoft Excel is essential, along with experience in Microsoft Word and PowerPoint. Demonstrated success in clear thinking and adaptability, as well as the ability to work independently, prioritize tasks, and solve problems, is crucial. Strong organizational skills, and proficiency in computer use for scheduling, dental records, and digital X-rays, are necessary. Additionally, successful candidates should have experience in customer service or patient services, preferably within a medical care facility, and the ability to manage difficult customer or patient situations effectively. A significant knowledge of public health, dental practices, procedures, and direct patient services, including using dental devices and equipment, is also required.
Ability to: The ability to take on various responsibilities aimed at ensuring efficient operations and high-quality patient care within the dental clinic. This includes managing patient records and administrative documentation, conducting community outreach efforts, and supervising dental program personnel. Additionally, tasks involve coordinating schedules for dental staff, reviewing and approving time sheets, and establishing systems for ordering and organizing clinic supplies. Furthermore, the position entails coordinating continuing education opportunities on dental products, implementing systems for multiple clinics to request supplies, and tracking orders from the purchasing department. Ultimately, the ideal candidate will embody compassionate leadership and maintain a positive attitude while fulfilling these duties.

Work Conditions:
This position includes work at multiple locations, minimal lifting/carrying, some evening and/or weekend hours required; and the potential for work within reasonable adverse weather conditions (snow, rain, heat).
