Jamaica Hospital Medical Center is Hiring an Assistant Director, Grant Contracts Near Richmond, NY

Under the direction of the Director of Development, and with supervision and guidance from the Grants Accounting team in Finance, the Assistant Director of Grant Contracts serves as a team leader, overseeing the day-to-day management of grant funds awarded to and received by MediSys Health Network entities, from federal, state and local agencies, as well as private sources. The Assistant Director of Grant Contracts’ primary responsibility is to ensure compliance with funder requirements as outlined in each grant contract agreement. This role is the primary point of contact regarding all grant awards and post-award grants management.

Responsibilities:

  • Oversees grant contract development and implementation, and ongoing reporting requirements for the entire lifecycle of MediSys Health Network’s grants. Oversees communication of the status of various tasks with key responsible parties in order to ensure timely submission of deliverables and reports in the management of existing contracts and contracts under development. Keeps staff informed about upcoming reporting deadlines and deliverables.
  • Produces and reviews monthly and quarterly reports; coordinates on-site visits; prepares written program evaluations to determine compliance with performance standards and Federal, State, and local regulations; recommends program modifications or funding changes as appropriate. Maintains a schedule that ensures accurate and timely submission of reports and contract deliverables.
  • Maintains MediSys Health Network’s accounts on applicable grant-related systems. Monitors communication on these various systems and ensures timely communication and alerts between MediSys Health Network staff and funders.
  • Prepares written reports, both internal and external, regarding individual contracts; groups of similar contracts; contract policy and procedures; problem areas or changes in rules and regulations.
  • Provides management and direction towards grant processes for pass-through funding to programs, RFP, allocation processes, budget, grant management software and reimbursement practices in accordance with grants management best practices.
  • Collaborates with program leadership and staff to ensure efficient and effective processes for data collection and reporting. Assist program leadership with effective communication of data with both internal and external stakeholders.
  • Supports the Director of Development in the decision-making process for determining which grant applications will be submitted by disseminating requests for proposals (RFPs) and project ideas, coordinating meetings and communications among decision-makers and subject matter experts, and consulting with prospective partners/ collaborators.
  • Establishes, develops, manages, and maintains external relationships with government funders that facilitate funding awards and early notice of potential grant opportunities.
  • Leads and advises operational divisions on programmatic compliance with public grant contracts, which may include program reporting, eligibility, documentation, billing practices, administration, record retention, workplan approval, etc.
  • Manages contract negotiations in collaboration with Finance, Program Leadership and Legal to ensure adequate and appropriate funding for direct and indirect project costs.
  • Directs grant contract renewal and re-bid processes on behalf of MediSys Health Network.
  • Collaborates with Legal, Development, Government Affairs, Finance, Planning, Program Leadership and Administration and other relevant departments to maintain and strengthen funder relationships.
  • Identifies and develops strategies to optimize the grants management process. Implements cross- departmental management controls to ensure that key staff are complying with grants compliance. Provides ongoing training to departmental staff on grants management and reporting requirements.
  • Collaborates with other fundraising areas within MediSys Health Network i.e., Gala, corporate funding, major gifts, etc.
  • Engages appropriate MediSys Health Network experts, program leadership, and support departments to further project goals and objectives.
  • Supports the government grants team, including Development, Planning, Finance, pertinent operating departments and external consultants to draft government grant and private grant applications. Sources and engages internal and external talent to prepare parts of applications and submissions including, but not limited to, writing narrative, conducting model research, developing budget, and compiling and submitting applications.
  • Participates in interdisciplinary and interdepartmental work groups. Facilitates work group meetings in support of contract implementation and management.
  • Develops project management plans for new contracts and programs, provides oversight and monitors progress of project against timelines stated within project plan. Ensures that milestones are met and deliverables are produced on time. Addresses and mitigates issues when project is not on track. Communicates project status on a regular basis through reports, memos, presentations and other communications as needed.
  • Meets with program and department management to ensure collaboration and effective working relationships. Manages ongoing relationships with internal and external stakeholders and collaborators.
  • Collaborates with Finance and program staff to manage, allocate, plan, analyze and obtain approval for expenditures for programs and project budgets

Requirements:

  • Bachelor's Degree in Business, Non-Profit Management, Public Health Administration; Master’s Degree preferred.
  • Minimum of (4) four years of experience in grant management, preferably within a healthcare or public health setting.
  • Proven experience in contract management, including negotiation and oversight of vendor contracts.
  • Excellent written and verbal communication skills, with experience in grant proposal writing and scope development
  • Proficient with MS Office applications.
  • Ability to work effectively in a fast-paced environment, managing multiple priorities and deadlines
  • Experience with budget planning and forecasting preferred
  • Knowledge of federal and state regulations related to grant management and procurement.

Job Type: Full-time

Pay: $120,000.00 - $140,000.00 per year
