Title of NYC Civic Corps Member: Volunteer and Outreach Coordinator
Goal of Project:
In 2024, staff structure will continue to grow in response to growing needs. Volunteers paired with IRC staff provide invaluable support to clients who are refugee, asylee, asylum-seeking, and immigrants. Clients benefit from volunteers' assistance with interpretation, employment, public benefits applications, financial literacy, ESL, youth education, and immigration services. The goal is for three NYC Civic Corps members to recruit, place, and support volunteers. Members will oversee active volunteers, maintain regular communication and act as a liaison between staff and volunteers.
Objective 1: Settling in - learning about the organization and role
Member Activities:
1. Meet with organizational leadership
2. Community Asset Mapping
3. Review Assignment Description for clarity and/or revisions
4. Meet community stakeholders to learn about the project's impact
Objective 2: Support Fall/Winter volunteers and continue to develop materials
Member Activities:
*Develop a Community Asset Mapping
*Learn how to manage and oversee existing fall volunteers on a daily basis and provide open office hours.
*Continue to track hours and volunteer information in database system.
*Connect with all supervising staff to determine volunteer needs for winter cycle
Objective 3: Implement skills learned to recruit Spring volunteers with a deadline of mid-December
Member Activities:
*Recruit, screen, and place Winter volunteers
*Train and manage remote and in-person working volunteers.
*Send weekly timesheet reminders and track submissions.
*Recruit volunteers from the community, local and national universities, colleges, and corporations in preparation for the Spring cohort
Objective 4: Complete recruitment and onboarding support to Spring volunteers
Member Activities:
*Coordinate and present volunteer orientations for selected volunteers.
*Ensure all volunteers have necessary IRC logins
*Ensure all volunteers have clarity on assignments and communication with supervisors
*Begin supervising volunteers on a daily basis and provide open office hours
Objective 5: Continue to engage staff and support Spring volunteers
Member Activities:
*Conduct orientation presentation.
*Track hours and volunteer information in database system.
*Send weekly timesheet reminders and track submissions.
*Conduct weekly maintenance of salesforce
February 2025 -March 2025 02-02-2025 - 03-01-25
Objective 6: Continue to support spring volunteers and begin recruitment for summer volunteer cohort.
Member Activities:
*Post volunteer job opportunities, conduct volunteer screenings, and liaise with Education department to recruit summer academy volunteers
*Track hours and volunteer information in database system and send weekly timesheet reminders and track submissions
*Attend in-person career fairs to recruit volunteer and represent IRC in NY. Career fairs are offered by local colleges about every 3-4 weeks.
*Conduct volunteer management training to all supervisors
Objective 7: Continue to recruit summer volunteers and salesforce clean up
Member Activities:
*Attend in-person career fairs to recruit volunteer and represent IRC in NY. Career fairs are offered by local colleges about every 3-4 weeks, in preparation for the summer cycle
*Continue to expand volunteer recruitment materials electronically and make available to all supervisors. Vehicle use agreement form, end of term evaluation form, volunteer appreciation certificate
*Clean up salesforce data and continue to collect volunteer
*Conduct volunteer appreciation event
Objective 8: Ensure sustainability for the summer cycle and complete project closeout
Member Activities:
*Onboard all volunteers and ensure they have access to volunteer timesheet portal while continuing to provide open office hours.
*Conduct orientation/training sessions for all potential and confirmed volunteers in the summer cycle.
*Transfer Volunteer management training to supervisors: Create transition document that details all aspects of the project, including outstanding assignments, main points of contacts and potential next steps to move the project forward.
*Transition partnerships, developing communication around transition to inform partners about new points of contact after the program ends
