We are currently seeking a detail-oriented Port and Marine Operations Specialist to assist in the securing and managing of Windstar port reservations, the building and verification of ship itineraries, the processing and tracking of port operations and other associated invoices related to the Windstar Cruises fleet operations globally. This team member will be assisting in the maintaining of various data repositories and databases that support the Marine, Safety & Environmental Operations team. The Port and Marine Operations Specialist requires focused attention to detail and follow-through, accuracy with numbers and ability to work on projects independently as well as part of a team. The Port and Marine Operations Specialist will directly report to the Manager, Port Operations, and work closely with the Managers, Nautical Operations and Marine Operations.

Responsibilities

  • In conjunction with the Manager, Port Operations:
    • Receive, record and process port and crew invoices.
    • Determine the appropriate coding of port and crew invoices.
    • Populate the monthly schedule of advanced payments.
    • Compare current invoices to invoices from previous calls, against historic costs for a port, and the established budget.
    • Determine unusual and unexpected cost overages or trends related to the costs of operating in a specific port.
    • Identify as early as possible the mooring position of ships in all ports, then continue to track and update turn port information.
    • Check pre-season and confirm all port operations reference data is correct, including that any associated agreements with port agencies are up to date.
    • Secure and manage port reservations, including building and verification of ship itineraries.
  • Verify as required the information contained in submitted Port Authority Ship Information Sheets (PASIS).
  • Maintain Port Agent contact repository/database.
  • Build and maintaining a relationship with port agents that support Windstar Cruises:
    • Including communicating with them for ongoing and/or outstanding issues, outstanding invoices and issues where timely information is required to support the ship(s).
  • In conjunction with the itinerary planning team, assist in engaging with port agents regarding port questionnaires and the collection of other data to support ships operations.
  • Support the Marine, Safety and Environmental Operations Team, including specifically the Managers, Nautical and Marine Operations in:
    • The collection from multiple sources, consolidation and presentation in an effective way Best Practices and Detailed Port Information repository for all ports that Windstar Cruises visits globally. In the maintaining of this Best Practices and Detailed Port Information repository ensure it is periodically reviewed, checked, and updated with the available information as appropriate being validated/re-validated.
    • The collection, compiling and outreach associated with projects and initiatives as assigned.
  • Additional duties as assigned.

Qualifications

  • Ability to work on immediate tasks while tracking long-term & on-going projects.
  • Proficiency in Microsoft Excel and Word.
  • Microsoft Outlook & internet skills.
  • Detail oriented, self-starter, with excellent time management skills.
  • Excellent communication skills – written, verbal & listening.

  • Ability to work in a fast paced, dynamic environment.
