Inspire Physical Therapy is currently seeking a Front Office Manager to join our pediatric physical therapy team in either a full-time or part-time basis. We are seeking a dedicated professional who will oversee the administrative operations of the office, as well as, the first point of contact for our patients and visitors. This role will play a crucial role in ensuring a seamless operation and positive experience for those who pass through our doors. Responsibilities:

  • Welcome patients and visitors warmly, both in person and over the phone, addressing inquiries and directing them to appropriate staff members as needed.
  • Manage appointment scheduling efficiently using an EMR system, ensuring timely reminders and minimizing service delays.
  • Mentor and manage an Office Assistant/PT Aide to ensure efficient front office operations and reception coverage, and collaborates closely with Medical Biller.
  • Maintain a tidy and organized reception and other general office areas, to uphold a professional clinic environment.
  • Direct office activities to promote efficiency and compliance with company policies.
  • Create and manage electronic medical records, ensuring accuracy and confidentiality.
  • Review financial obligations with patients and process in-clinic payments promptly.
  • Register patients, conduct eligibility, and benefit checks, and collaborate closely with the billing manager.
  • Monitor and replenish office supplies inventory as needed.
  • Maintain meticulous records, documentation, and files to ensure accurate information management.
  • Assist in crafting and disseminating content on social media platforms.
  • Perform additional duties as assigned to support clinic operations.

Qualifications:

  • High school diploma or equivalent.
  • Minimum of two years of experience in a medical front office setting.
  • Prior work experience in a supervisory role within a healthcare facility, is desirable.
  • Familiarity with standard front office equipment and proficiency in Microsoft Office Suite or related software.
  • Professional demeanor with the ability to remain calm and courteous under pressure.
  • Knowledge of patient confidentiality and HIPAA requirements.
  • Good working knowledge of medical terminology and CPT codes.
  • Prior work experience with WebPT, Therabill, and scheduling software, highly desirable.

Competencies:

  • Exceptional interpersonal skills to interact with patients of all ages, with a preference for experience in communicating with children and parents.
  • Strong verbal and written communication skills.
  • Impeccable organizational abilities with acute attention to detail.
  • Proven time management skills, capable of meeting deadlines effectively.
  • Ability to prioritize tasks and delegate when necessary.

Physical Requirements: Ability to sit for prolonged periods of time while working on a computer, performing repetitive movements, lifting up to 15-pounds, as well as bending/squatting.

Compensation: The expected hourly rate for this position is $25.00 to $28.00 benefits (for full-time employees), including profit sharing, 401(k) with Company match, and Paid Time Off/Company Paid Holidays.
