Respiratory Products Intake Specialist

This intake specialist site coordinator will assist in many tasks to support our Neb Doctors operations and sales along with supporting the needs of the local office.

Position Description:

The Respiratory Products Intake Specialist and Site Coordinator is responsible for the preparation of Purchase Agreements for billing, the proper distribution of incoming Purchase Agreements and is the primary local contact for the Neb Doctors location.

Specific Responsibilities- Intake:

  • Ensure all required information for Purchase Agreements is included and legible.
  • Verify insurance eligibility.
  • Submit insurance authorizations as needed.
  • Contact Physician Practices for additional information or documentation as needed.
  • Maintain a high-volume level to meet production goals.
  • Check Original Purchase Agreements against company database to ensure they have been billed.
  • Paper port Original Purchase and Rental Agreements into correct folders according to protocols.
  • Sort orders from Sfax into appropriate folders as indicated by fax sorting procedures.
  • Answer calls from patients, practices and sales representatives and provide quality customer service. Transfer calls to Account Coordinators or Product Specialists as indicated in Protocols.

Specific Responsibilities- Site Lead:

  • Acts as the primary local contact for headquarters.
  • Acts as the local liaison for vendors servicing the location, i.e., HVAC, Shredding Services, Telephone Providers, Landlords, etc.
  • Ensures the location is secure with doors and windows closed and locked, and security system always armed where applicable.
  • Communicates local supply needs to headquarters or orders appropriately for the location as directed.
  • Acts as the primary contact for site inspections by regulatory or accreditation entities and communicates directly with headquarters.
  • Ability to follow instructions and training.
  • Ability to work independently.
  • Be knowledgeable and compliant with all InHealth policies and procedures. Be able to maintain confidential patient, financial and company information.
  • Excellent verbal communication skills.
  • Excellent typing skills
  • Good problem-solving skills including managing crisis situations calmly and professionally.
  • Ability to concentrate on tasks and meet deadlines demonstrating organization and time management skills.

Education & Training:

  • High School Diploma
  • 2-3 years of work experience; office and/or customer service experience a plus
