InfraHire is looking for an Admin Assistant & Client Support Representative in Columbia, MD.
Job Description :
Reviewing & replying to all notices received from clients.
Filing all annual reports needed for businesses registered in states, including any PPT filings needed.
Business filings requested by clients
Certificates of Good Standings
S Election Filings in any states required (NJ)
Handling all billing with CT Corporation
Complete any IRS filings needed
1023 (Non-profit) applications,
POAs (also with state),
TRC Filings
Sending mass emails out for 1099s, tax season, end of year docs for YE FS clients, any final calls, and any misc. needed ones.
Issuing all 1099s and corrections.
Issuing share / membership certificates as requested
Posting job ads, monitoring candidates, submitting resumes to partners if they meet certain criteria for the job listed, setting up interviews.
Setting up jobs in Firm360 as needed and for mass job uploads (btax, ptax, 1099s, etc)
Taxes
Set up all templates,
Send organizer emails and save files to shared folders,
Help ready extensions,
E-file all extensions,
Collect and send all tax docs to IO,
Package all returns
Send any requests to correct personnel for other items (FS, P&L, BS, etc.)
Handle and help with issues within the office i.e., RTS, copier issues and reordering toner, postage machine, phone system, etc.
Planning team events, meetings, lunches, etc.
Scheduling consults / appointments for partners.
Assisting with any meetings for interviews, hiring, firing, as needed.
Back up to Admin / Receptionist, when needed.
Onboarding
Answering phones, transferring calls to appropriate personnel, taking messages, helping clients when possible.
Assist in scheduling appointments for Partners, as needed.
Greeting clients either for
Meetings & setting them up in the conf. room.
Stopping by to drop off or sign documents, have questions, or pick up their documents
Handle mail
Handle faxes
Save faxed files received to IO.
Forward any faxes needed to Sales Tax or Payroll emails.
