Job Summary :

Responsible for representing the Fishers Art Center and maintaining the patron facing operations of the concierge desk. Oversees the organization and coordination of the theater schedules with the City of Fishers, Fishers Community Partners, and the Art Center Events Team. Assists patrons with information about the Fishers and Indy Art Center, exhibition gallery spaces, registering for onsite classes, as well as communicating, forming and maintaining connections within the Fishers community. This position is for 40 hours.

Job Responsibilities :

  • Deliver excellent customer service to Art Center students, members, visitors, teaching artists, staff, and members of the community.
  • Comprehensive ability to navigate the Art Center’s website and disseminate Art Center information about events, exhibitions, classes, and programs.
  • Assists in class registration and membership procedures.
  • Generate weekly calendars and reports to send to appropriate departments.
  • Manage the Concierge Desk group email and info@ email accounts.
  • Track and compile data of incoming calls and guests to develop better understanding of concierge desk scheduling needs.
  • Maintain proper opening and closing procedures.
  • Competent usage of theater A/V equipment and stadium chair operations.
  • Flex hours based on events schedule and community partner bookings.
  • Conduct gallery tours with the Art Center’s Exhibition Associate and/or additional members of the Exhibition Team as needed.
  • Support the Art Center by encouraging adherence to student and visitor guidelines.
  • Assist in managing part-time Guest Service Representatives and/or Concierge Desk Volunteers.
  • Assist with preparation for upcoming Indianapolis Art Center events
  • Assist artists, students, and purchasers with artwork pickup after exhibit closes or class ends.
  • Perform other administrative, customer service, sales, and clerical duties as needed.

Competencies Required

1. Communication: Strong written and verbal communication skills required with a strong ability in public speaking, especially with artists and patrons in person and via phone and email.

2. Relationship Building: Interpersonal skills which can be utilized to engage with artists, patrons, and fellow team members.

3. Time Management: Strong ability to manage multiple projects and calendars to ensure on time completion working independently and as part of a team.

4. Professionalism: Focus on positive communication and teamwork in order to execute and meet all job responsibilities.

Additional Education/Knowledge/Skills Requirements :

  • Excellent writing and verbal communication skills
  • Computer/data entry and experience in Microsoft Office Suite
  • A combination of education, training, and experience equivalent to an undergraduate degree in Management or related field.
  • 3-5 years proven experience as an Office Manager or Front Office Management • Previous experience of at least 3 years in training, managing, evaluating, and providing work direction and guidance to others.
  • Excellent customer service experience required to handle high volume front desk activity.
  • Proficiency in MS Office (Word, Excel, and Outlook, in particular.) Ability to pick up other software quickly.
  • Hands on experience with office machines (e.g., copy machines and printers)
  • Familiar with internal retail sales. customer service, computer, and clerical skills
