Job Summary

The Business Manager for the Indiana University Eskenazi Museum of Art (Eskenazi) coordinates financial activities to ensure that the program's strategic goals and objectives are met. Performs duties necessary for program operation - recruitment, advising and tracking, developing reports and budgets, and maintaining program's informational material. Oversees program activities and trainings, grants and loan programs.

Department Specific Responsibilities

  • Advances the academic mission of the museum by managing programs related to speakers, visiting scholars and artists-in-residence.
  • Serves as liaison to program participants, collaborators, community partners, vendors and the public; approves purchase requests; arranges travel, accommodations, and research activities.
  • Manages the distribution of honorariums.
  • Develops and oversees processes related to the recruitment, selection, onboarding, scheduling and training of part-time, student and volunteer staff. Supports selection processes related to the selection of faculty and full-time staff and manages the museum's hiring activity via IU Share including but not limited to HR transactions (e-docs, etc.).
  • Coordinates with Shared Services HR as needed.
  • Acts as IU Share monitor either by entering IU Share requests for staff or approving requests entered by staff to, ensuring that all requests meet the mission and objectives of the unit.
  • Assists in administration of grants and awards, ensures compliance, implements advanced strategies for timely use and approves the distribution of related funds.
  • Works closely with managers to identify funding needs and sources and supports the development of grant proposals and applications.
  • Administers program budgets and approves spending. Manages relationships with IU Purchasing and vendors.
  • Tracks and reconciles the museum's use of procurement cards. Conducts analysis, develops reports thru IU reporting tools (IUIE, UCO Tool Kit, etc) and makes recommendations related to business operations and financial performance of the museum.
  • Leverages campus-built dashboards as needed for financial and operational support.
  • Provides administrative support to the director, including for scheduling, travel, and events.
  • Acts as Eskenazi's primary contact for all administrative and building needs, including for maintenance requests, emergency protocols/contacts, and other support services.

General Responsibilities

  • Plans, directs and implements programs or events, including the creation of materials to support these events.
  • Provides staff communications and serves as liaison to program participants, collaborators in other units, community partners, vendors and the public; approves staff purchase requests; arranges staff travel, accommodations, and research activities.
  • Provides mechanisms, training, and advice on a variety of issues such as budget management software and advanced strategies for timely spending of grant funds. May be responsible for meeting revenue targets.
  • Recruits, trains, directs, schedules, and evaluates faculty and staff partners, students and volunteers. Mentors, serves as a resource and provides guidance to team staff members as needed.
  • Researches available grants and works closely with managers to identify funding needs and potential sources, creates grant proposals that further advance support of the program and program participants; May be responsible for meeting revenue targets.
  • Constructs and administers program budgets and approves spending. Tracks progress on deliverables, analyzes data on projected spending and prepares reports for higher management and funding sources.
  • Keeps abreast of best practices to recommend policies and procedures that deliver a quality program experience.

Working Conditions / Demands
