Job Summary The Manager of Business Operations provides support to the executive leadership team; performing a variety of duties and skilled tasks that may include meeting planning, vendor management, PowerPoint presentations, preparing reports, basic project management, and event coordination. Job Description What you get to do Provides high-level administrative support to the executive leadership team and/or department heads. May include project coordination and/or management. Coordinates and schedules travel, meetings, and appointments. Identify suitable venues based on requirements and budget constraints. Negotiate contracts with venues and manage logistical details for seamless execution. Coordinate logistical details such as transportation, parking, and on-site setup. Development and implement contingency plans to address unforeseen challenges. Create and communicate comprehensive event timelines and schedules to ensure all aspects run smoothly. Prepares agendas and schedules for meetings, conferences, and other assigned events (this may include sourcing and negotiating contracts). Cascades communication from the corporate office to the other branches and follows up to ensure all communications are received and implemented. Responds to and resolves administrative inquiries and questions. Performs other related duties as assigned. Some travel may be required up to 10% of time. Performs other general duties as requested, which may include recordkeeping, maintaining office supplies and coordinating equipment and office maintenance, and handling packages and correspondence. Skills & Abilities Detail-oriented and professional. Exceptional communication skills. Extremely proficient with Microsoft Office Suite. Ability to work independently and reliably. Flexible and adaptable in various situations and when interacting with many different personalities. Ability to organize and prioritize tasks including delegation of tasks when appropriate. Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable laws or guidelines. Qualifications Five to seven years of experience in a related role required Physical job requirements & Work Environment While performing the duties of this job, the employee is frequently required to remain in a stationary position for up to eight hours in an office environment. The employee occasionally is required to move to access people or workspaces. Involves frequent telephone contact with agents and employees. Interaction with others is constant and may be interruptive or involve dealing with angry or upset people. The employee may occasionally lift files, paper, or office equipment weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier, and other such office equipment as necessary. Vision must be correctable to 20/30 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on computer screens for long periods and the ability to optimally communicate is required.
