Position Description
Record Specialist

Position Type: Full-Time
Department: Academic Support 
This position provides support services to current, past, and prospective students, faculty, and staff involving various aspects of student records, data retrieval, graduation, and records management. 
Minimum Qualifications: 
  • Bachelor’s degree preferred; Associates required; work experience in higher education preferred 
  • Keyboard skills with ability to produce and maintain accurate records and professional quality material
  • Demonstrated background in assuming responsibility, initiative, and working under pressure in a fast-paced environment
  • Demonstrated effective verbal and written communication skills including spelling, punctuation, and grammar
  • Work record demonstrating good rapport with the public and a genuine desire to work with a diverse student population
  • Dependable, particularly regarding time schedules
  • Ability to operate standard office machines and software packages
  • Must be willing to work a flexible schedule (occasional evening and Saturday work is required)
  • Ability to follow procedures and quickly learn new ones, paying particular attention to detail
  • Demonstrated success of teamwork skills
Specific Position Duties:
  • Process transcript requests electronic and paper
  • Catalog updates
  • Enter High school transcripts/placement scores
  • Certification /Final grade rosters
  • Progress grades/Last date of attendance
  • Process add/drop/withdraw forms
  • Maintain student files
  • Provide resolutions for student issues related to the Registrar’s Office; assist students in locating appropriate personnel for resolutions of issues involving other campus entities
  • Participate in the planning, rehearsal, and execution of each graduation ceremony
  • Scan daily incoming records and assist with scanning archived records
  • Communicate appropriate policies/regulations to faculty, staff, and administration when clarification is needed
  • Process official name changes and update addresses
  • Verify enrollment and degree status in National Student Clearinghouse
  • Keep counter full of appropriate documents, making copies when necessary
  • Run reports to review data, clean data as necessary
  • Perform other duties as assigned
