The Position: 

The Case Records Specialist is responsible for processing records for new cases and additional records on existing cases in the Clio, SharePoint, and Ambra systems. Assigning a chronologist, creating the Index of Records template, processing of all diagnostic imaging, audio and or video and ensuring that all the items needed by both the Chronologist and the Expert are available online for use. The successful candidate will be motivated, creative, analytical, and efficient, and will have superior skills working independently and as a member of a team.

The Case Records Specialists also serves in a liaison capacity to establish and maintain an effective working relationship between IMS Legal Strategies | Juris Medicus and the expert. The Case Records Specialist must be detail-oriented, have strong computer skills and excellent time management. This position is expected to work comfortably under pressure with tight deadlines in a fast-paced environment and with meticulous attention to detail.

Requirements

Essential Duties and Responsibilities: 

  • Enter all appropriate information into the Clio system to set up the case or add to an existing matter.
  • Volumize all medical records in SharePoint to allow access to Chronologists and Experts, noting the number of pages and uploaded files. 
  • Perform a visual check on page counts, searching for corrupted or damaged files. 
  • Upload any imaging in SharePoint to Ambra or process any imaging uploaded directly to Ambra.
  • Create the template for the index of records to facilitate a common format and content for all indices produced.
  • Confirm all deadlines are set correctly in the system to be communicated to the Chronologist, Case Manager, and Expert.
  • To assist and communicate with the experts and their assistants in a professional manner and provide exceptional customer service. Assisting in the resolution of problems is a major aspect of the work.
  • Assist in verifying deadlines and pertinent details with case management and/or case intake before a case is sent to the expert.
  • Maintain daily records with accuracy and high attention to detail.
  • Set up new user accounts across multiple software platforms and maintain those platforms for the expert.
  • Provide training (software-related) to the expert and assist with troubleshooting to help resolve any technical issues.
  • Respond to all case-related queries from the Chronologist, Case Manager, and Expert.
  • Ensure efficient and effective communication of administrative information and assistance to the expert and their staff.
  • Close out and remove case records from the expert’s accounts as required by HIPAA.

Education and/or Experience: 

  • Work experience in the legal and or medical field strongly preferred
  • Legal Assistant and or Medical Office Specialist experience strongly preferred
  • HIPAA certification shortly after employment (training will be provided)

Computer Skills:

  • High proficiency with MS Office, Excel, Clio, Ambra, SmartSheet and SharePoint.
  • Familiarity with a variety of information technology systems.
  • Systematic knowledge of databases and tracking systems.

Other Skills and Abilities: 

  • Strong verbal and written communication skills.
  • Familiarity with the legal system and law firm structure with knowledge of the discovery process and its relationship to the Texas and Federal Rules of Civil Procedure and the Texas Civil Practice and Remedies Code.
  • Ability to prioritize and organize work to achieve position objectives and goals.
  • Familiarity with medical terminology and records
  • Time management and organization skills.

Physical Demands and Work Environment: 

  • Frequently required to sit and use hands/fingers to handle, feel and to manipulate keys on a keyboard. Occasionally required to stand, walk, and reach with arms and hands. Requires visual acuity sufficient to recognize people, words, and numbers, including close vision. Requires speaking and hearing ability sufficient to hear over phone and carry on routine conversations.
