PURPOSE OF POSITION: The Development and Community Relations Department (DCR) supports RCMA’s mission by strengthening the agency’s relationships with donors, community partners, alumni, parents, friends, corporations, foundations, and numerous other private institutions, raising public awareness, and increasing private philanthropy, which supports RCMA’s growth and reputation.

RCMA is currently in the midst of an exciting capital campaign to expand our K-8th grade charter schools. This is a top priority for the agency. The Office Administrator supports the agency’s success by providing administrative and logistical support to the DCR team and providing administrative support to the campaign.

Under the supervision of the Director of Development, the DCR Office Administrator will combine project management, and data entry with the ability to collaborate with team members to meet campaign deadlines, maintain good database usage, and support the DCR Team with administrative tasks such as mailings, and receiving phone calls. This position is an integral part of RCMA’s ability to successfully grow revenues relating to contributions, sponsorships, and partnerships.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following however, other duties may be assigned:

  • Provides administrative support to the Director of Development when it comes to processing POs, scheduling meetings, etc.
  • Serves as the principal contact person for capital campaign teams, and ensures that the campaign process is running smoothly. Works with the Director of Development, campaign cabinet, and campaign consultant, be responsible for creating, coordinating, and facilitating activities, meetings, training, cultivation activities, solicitations, and special events involving the major support organizations and their members.
  • Provides administrative support to department team members on department-wide projects such as orchestrating team meetings, taking minutes, mailings, golf tournament admin duties, etc.
  • Handles general incoming and outgoing mail, emails, and phone calls. Answers phone calls and directs inquiries to the appropriate individuals or departments. Greets visitors, clients, and employees in a professional and friendly manner.
  • Handles general correspondence to donors (gift acknowledgment letters, postcards, etc). Ensures form letters are all updated for easy use.
  • Organizes and maintains electronic (Shared Drive, SharePoint) and paper department files for easy access and retrieval.
  • Trains new employees on office software and procedures.
  • Keeps inventory of RCMA marketing and development materials, ensuring that sufficient materials are on hand when needed.
  • Maintains the DCR handbook, and works with the DCR team to keep it updated.
  • Enters and processes gifts received via direct mail and online into Raisers Edge. Runs acknowledgment letters and mails them out. Works with staff to make sure that all gifts, acknowledgments, and receipts for donors are recorded and mailed within 72 hours of receipt.
  • Assists the DCR team with other projects including special events.

REQUIRED EDUCATION, SKILLS, AND EXPERIENCE:

  • High School Diploma or GED. Associate Degree is preferred. At least 3-5 years of related experience in office administration, databases, and event planning/organizing is required.
  • Knowledge of Microsoft Excel, Word, Outlook, and PowerPoint.
