We are currently seeking a Project Coordinator in our Scottsdale, AZ office. As a Project Coordinator you will be responsible for providng administrative assistance to all the members of the Medical Equipment Planning team coordinating work to insure schedules, quality, and standards are met. Some key duties and responsibilities include: Responsible for formatting project related reports, schedules and documents as needed Assist with generating budget reports and creating budget documentation for submission to project team and key stakeholders Assist on tracking budget numbers in order to monitor against the approved budget Research medical equipment specifications as necessary Ability to attend client user group meetings to provide support as requested. Assist Medical Equipment Planners in providing equipment specifications, utility requirements information, and related considerations during the design process Assist in assembling and running reports for Architecturally Significant Equipment (ASE) cut sheet books Review changes generated from user group meetings and update the equipment list in the Attainia database as needed Review and generate meeting minutes based on the Medical Equipment Planners’ meeting notes and mark-ups as requested Assist the project team in conducting physical inventory of existing equipment as requested Provide data entry and formatting of equipment data collected during inventory Establish vendor lists for the Procurement Management phase with consideration to the Owner’s preferred vendor list and standards Assist in requesting quotes and maintain organization of all documents relating to procurement. Maintain tracking logs in Excel for all elements of procurement for ease of reporting throughout the project Work in Attainia to maintain equipment lists and preparing purchase order requisitions Schedule vendor lunch and learns for the planning team Assist with the preparation of business development proposals and qualification submittals as requested Ability to travel 20-30% of time including overnight stays. Key skills and abilities needed for the position are: Minimum of 2-4 years of experience within the Medical Equipment Planning or healthcare industry preferred Strong communication skills and proven ability to interact with healthcare professionals, design professionals and clients Critical thinking and problem-solving skills Ability to multi-task and manage several simultaneous projects Advanced computer proficiency required including developing spreadsheets and databases Ability to work independently with minimal supervision to assist in projects Knowledge of the construction industry desired. Education and experience requirements are: Minimum of 2-4 years of experience within the Medical Equipment Planning industry as a project coordinator and/or administrative assistant.
