Job Summary:

This position is responsible for a variety of customer service, accounting tasks, collections, purchasing and order management functions. It requires examination and analysis of accounting records and maintaining a report of past due accounts. Performing email and phone-based customer service, order management, and collections tasks. Preparing purchase orders and maintaining purchasing records. Researching and supporting negotiations with suppliers to obtain prices and specifications. Job responsibilities also include processing check requests, reconciling checking, savings, and credit card accounts, prioritizing invoices, and updating inventory system on a timely manner. Support of other support functions as needed. This position reports to the Accounting Supervisor.

Responsibilities (may include but not limited to):

  • Providing superior support for IMCS customers and the sales team
  • Managing order intake activities leveraging company technology systems
  • Ensuring accurate and appropriate documentation for all accounts
  • Facilitating product shipments and supporting IMCS sales process
  • Managing phone and email communications with customers
  • Creating orders, quotes, and customer correspondences
  • Generating invoices and sales quotes for commercial and government customers
  • Ensuring accurate and appropriate recording and analysis of accounts receivable
  • Compiling and analyzing accounts receivable transaction report
  • Managing phone and email communication to rectify outstanding balance issues
  • Invoicing and managing collection of payment by customers
  • Posting of payments to QuickBooks
  • Processing bank deposits
  • Facilitating procurement of products and services
  • Calling Vendor Customer Service to check availability/status
  • Preparing monthly sales reports into excel spread sheet for analysis
  • Compiling and analyzing financial information to prepare entries to accounts, such as general ledger accounts, and document business transactions
  • Maintaining confidentiality

Required Qualifications (knowledge AND experience):

  • AS/BS in Accounting, Finance, or related field, with a minimum of 1-2 years account management preferred.
  • Knowledge/Effective customer service skills.
  • Knowledge of the auditing, analysis, compilation and reconciliation methods used in processing financial and accounting transactions
  • Knowledge of QuickBooks, Salesforce, and Microsoft Excel a plus
