Function / Position Summary Provide office support to the nurse’s office, students, employees, and visitors to ensure organized and efficient operations for the Heath Office. Monitor the daily operations of the Health Office and assist the nurse and Supervisor of Health Services with routine administrative tasks as directed. Exercise strong time management, multitasking, and prioritizing skills while upholding School District U-46 ICARE Standards and utilizing excellent verbal and written communication skills to ensure all timelines are met. Maintain confidentiality of student information in the school and community.
Job Duties / Responsibilities
Schedule and coordinate meetings and appointments for the Health Office Nurse and/or Supervisor of Health Services as needed.
Compose and respond to correspondence on behalf of Health Office regarding student health status.
Answer, transfer phone calls, and record messages as necessary.
Review student and athletic physicals for compliance, health conditions and activity restrictions and informing appropriate staff of student’s health concerns in order to avoid district liability.
Sign in students that enter the nurse’s office, refer to RN/CSN.
Assist nurse with first aid and/or CPR including coordination of 911 calls.
Scan and file incoming 9th grade folders from Middle School before first day of each school year.
Create new student medical folder within one week of entry and input health requirements per (Illinois or School) Code Guidelines.
Gather data for all excludable health requirements by first day of each school year (i.e.: 9th grade physicals/12th grade Meningococcal immunization).
Insure each student is compliant with Illinois School Code. If noncompliant, send noncompliance letters to parents with due dates in which immunizations and physicals are due and provide clinic information. Track student health file until all information is received which includes maintaining a noncompliance log. Follow-up with parents, Doctor’s offices and previous schools via phone call, fax, etc.
Input and scan all excludable data into Infinite Campus prior to winter break (ie: 9th grade physicals/12th grade immunizations).
File and audit 9th grade student records (ie: physicals, sports physicals, immunization date and dental in compliance with Nurse Practice Guidelines) prior to Vision/Hearing Screening dates.
Inventory medical folders for whole school by winter break.
Coordinate Vision and Hearing Screening/re-screening testing days.
Complete final audit of graduating 12th grade medical files and coordinate with registrar for filing in cumulative folders by end of school year.
Complete final audit dropped student medical folders throughout school year and coordinate with registrar for filing.
Assist students with Doctor’s notes involving time off from PE (i.e. providing elevator passes/time passes, coordinate with PE Teachers and Coordinate with Counselors to adjust students schedule as needed).
Compile data for IWAS Immunization report by October 15th of each school year and submit information to CSN for recording.
Order office inventory of supplies for Health Office.
Receive, sort, and distribute documents and correspondence.
Maintain designated spreadsheets and all department files.
Other duties as assigned.
Education
High School diploma or equivalent.
Associates degree preferred.
Current CPR, AED, First Aid Certification preferred.
Experience / Knowledge
Five years of secretarial duties- preferred
Secretarial experience in a health field- preferred
Proficient in specialized computerized computer programs and applications i.e. Infinite Campus and Great Plains preferred.
Ability to work on a computer/telephone over the major portion of the day.
Ability to lift up to 25 pounds.
