Duties
ESSENTIAL FUNCTIONS: To perform this job successfully, an individual must be able to perform each essential function satisfactorily:
* Attends all school board meetings and prepares agenda, official minutes and documents for approval.
* Performs usual office routines, plus assembles confidential material according to instructions, prepares summaries of confidential documents, and maintains confidential files.
* Collects, prepares and distributes reports to Board of Education.
* Plans district celebrations: including Those Who Excel Luncheon, and District Retirement Dinner.
* Maintains a well-organized up-to-date filing system of confidential records and information.
* Maintains Board policies, Superintendent and Board budget accounts.
* Monitors ISBE notifications for various report approvals and updates profile as needed.
* Assists the superintendent in compiling data and preparing reports required by law, administrative code and board policy.
* Coordinates and schedules various appointments, meetings and attendance at functions for Superintendent and Board of Education
* Receives and routes written and verbal correspondence from stakeholders on behalf of the Superintendent.
* Handles verbal and written correspondence involving confidential or sensitive topics, including legal documents.
* Arranges meetings, prepares agendas and materials, takes clear notes and handles follow-up activities as necessary.
* Performs specialized and confidential assignments as required, including other tasks related to the efficient operation of the office as assigned.
OTHER SKILLS AND ABILITIES:
* Written and verbal communication at a high level of sensitivity and tact when dealing with a variety of stakeholders, including but not limited to parents, administrators, Board of Education, members of the press and other governmental agencies.
* Will demonstrate knowledge of and ability to access community resources.
* Applicants must be highly organized in their tasks and be able to work with little or no supervision.
* Proficient in Google/Microsoft Applications (Excel, Word, Slides, Sheets, Docs), Outlook scheduling, Above, and Zoom scheduling.
* Demonstrate experience of the School ERP Pro or similar school enterprise planning software.
* Ability to work with the public and staff in a professional and confidential manner.
Qualifications
EDUCATION AND LICENSURE
* Bachelor's degree preferred from an accredited college or university, or five years of office administration and supervisory experience.
* Applicant must have or obtain a Notary Public designation.
EXPERIENCE
* Five years of office personnel or office management in a school district setting preferred.
* Experience working in a public facing position with demonstrated track record of excellent community service.
* Coordinate and schedule various appointments, meetings and attendance at functions.
* Maintain Board policies, Superintendent and Board budget accounts.
* Monitor ISBE notifications for various report approvals and update profile as needed.
* Process reports for State agencies (i.e.: Hardship Waivers).
Salary/Benefits
The work year for this position is 12 months. Salary and benefits for this position is based on experience and credentials. Valley View offers excellent fringe benefits, including life, health and dental insurance. Salary FLSA Exempt.
