Job Description: Provides ongoing support and coordination; being a liaison between the Medical Staff, Medical Directors, and Administration. The position directs the on-going credentialing / privileging process and other administrative functions for the Medical Staff, Medical Director, Administration, and Allied Health Professionals. Job Essentials Mostly Mon-Friday day business hours with some weekends and/or nights. Hybrid opportunities may be available. 1. Medical Staff Credentialing/Re-Credentialing. Accountable for the accurate processing of credentialing applications for Medical Staff and specified allied health professionals. This includes reviewing applications, obtaining the appropriate background verifications. Attends and/or assists the Credentials Committee in its reviews. Channels the applications through the process with the Medical Executive Committee and Governing Board, and providing notifications to applicants, departments, and staff, in accordance with the Medical Staff Bylaws. Assists in ensuring the Medical Staff Office processes comply with regulatory and accreditation requirements. Coordinates the cyclical reappointment or temporary privileges process for the Medical Staff and specified allied health professionals, and provides appropriate notifications to physicians, departments, and staff, in accordance with the Medical Staff Bylaws. 2. Medical Staff Organization/Structure. Maintains and updates the Medical Staff database system. May prepare appropriate Medical Staff directories, and maintains accurate and complete rosters of Medical Staff members. Also, using such databases provides orientation and notifications to the Medical Staff regarding licensure, registration, educational, and other requirements and expirations. May assist in maintaining the Medical Staff Bylaws and other Medical Staff policies and procedures.Provides assistance to the Medical Staff for its functions and responsibilities. Schedules meetings, prepares and distributes agendas, prepares minutes for the Medical Executive Committee, Credentialing Committee, and other major Medical Staff meetings. 3. Physician Engagement. Supports facility initiatives to improve physician engagement; facilitating communication between Administration, the MEC, and medical staff membership. 4. Governing Board/Planning & Organizing. May provide primary secretarial assistance to the Governing Board. Schedules meetings, prepares agendas, sends notices, prepares minutes. Responds to inquiries on behalf of the Board and directs individuals to the appropriate resources within the hospital.May assist the Governing Board, Administration, and Medical Staff in establishing annual plans and goals, schedules, and activities. Serves as a key liaison between the Medical Staff and Administration. 5. Administration/General Duties. May provide primary secretarial assistance to the Administrator and Administrative Council. Schedules administrative meetings, prepares agenda, sends notices, and prepares minutes of assigned meetings. Greets visitors to Administration, responds to inquiries, and directs individuals to the appropriate resources. Handles other administrative functions such as messages, calendars, and general office organization.On behalf of the facility, the position provides general office organizational functions. Maintains appropriate administrative files, ensures that appropriate follow-up action is tracked and completed, handles correspondence, maintains meeting calendars, and handles inquiries from Governing Board, Administration, Medical Staff, employees, and the public. Minimum Qualifications Three years hospital and medical staff office experience. - and - Proven interpersonal, communication, customer service and organizational skills. - and - Experience with computers and software - and - Ability to participate in high-level confidential interactions with diplomacy and tact Preferred Qualifications Certification by the National Association of Medical Staff Services (NAMSS). Five years hospital and medical staff office experience. - and - Familiar with The Joint Commission standards. - and - Experience with medical terminology.
