We are seeking a highly organized and detail-oriented individual to join our team as a Contract Administrator with a focus on purchasing and procurement functions. We are looking for an innovative procurement specialist to source vendors and suppliers for our company. The Contract Administrator will be responsible for managing contracts, negotiating terms and conditions, ensuring compliance, and facilitating effective procurement processes. The ideal candidate has strong analytical skills, excellent communication abilities, and a solid understanding of purchasing and procurement practices.

Responsibilities:

  • Contract Management:
    • Draft, review, and negotiate contracts with suppliers, vendors, and service providers.
    • Ensure that contracts adhere to legal and company standards and policies.
    • Maintain an organized contract repository and update contract records as necessary.
    • Track contract expiration dates and initiate contract renewals or terminations as needed.
    • Collaborate with legal and procurement teams to resolve contract-related issues and disputes.
  • Procurement Processes:
    • Collaborate with internal stakeholders to identify procurement needs and develop procurement strategies.
    • Conduct market research to identify potential suppliers and evaluate their capabilities and offerings.
    • Issue and manage purchase orders, ensuring timely delivery of goods and services.
    • Monitor supplier performance and maintain effective supplier relationships.
    • Evaluate and negotiate pricing, terms, and conditions with suppliers to ensure cost savings and quality.
  • Compliance and Risk Management:
    • Ensure compliance with relevant laws, regulations, and company policies.
    • Identify and mitigate potential contractual and procurement risks.
    • Monitor supplier compliance with contract terms, quality standards, and delivery timelines.
    • Conduct periodic audits of procurement activities to ensure adherence to established processes and policies.
  • Documentation and Reporting:
    • Maintain accurate and up-to-date records of procurement activities, contracts, and related documentation.
    • Prepare reports on procurement metrics, cost savings, and supplier performance.
    • Analyze procurement data to identify opportunities for process improvement and cost optimization.
    • Provide regular updates to management on contract status, risks, and achievements.

Qualifications:

  • Bachelor's degree in business administration, supply chain management, finance, accounting, or a related field. A relevant professional certification (e.g., CPCM, CPP, CPM) is a plus.
  • Proven experience as a Contract Administrator, Purchasing Agent or in a similar role with a focus on purchasing and procurement.
  • Five years experience with purchasing.
  • Strong understanding of contract management principles and procurement best practices.
  • Excellent negotiation and communication skills, both written and verbal.
  • Proficiency in contract management software and procurement tools.
  • Detail-oriented with exceptional organizational and multitasking abilities.
  • Strong analytical and problem-solving skills.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Knowledge of relevant legal and regulatory requirements related to contracts and procurement.
