Job Description

Ideoli Group is looking for a driven and highly motivated full-time Office Coordinator. The ideal candidate is an experienced professional with a knowledge of customer service and office management best practices. This is a position for a determined and dynamic individual looking to work for an international business. The Office Coordinator is responsible for providing support to our internal team along with running office operations.

Under minimal supervision, the role is responsible for but not limited to the following:

  • Answer incoming phone calls and emails from current / potential clients.
  • Monitor office / marketing inventory and order additional supplies as needed.
  • Manage incoming and outgoing mail including small parcel shipments, including the creation of shipping labels as needed.
  • Provide additional support on client projects as needed under the direction of the Project Management team.
  • Manage active software accounts and research additional software as needed.
  • Communicate with outside vendors as needed, i.e. attorneys, landlords, accountants, etc. and ensure monthly bills are accurate and

paid in a timely manner.

  • Assist with the preparation of all client samples and shipments to ensure all items are branded and professionally packaged.
  • Provide additional support with planning for internal projects / events i.e. our team global summit, trade shows, etc.
  • Management of company calendar and creation / distribution of all Zoom calls and/or in-person meetings with clients.

Experience, Skills and Qualifications:

  • University or College degree with 1 – 3 years of experience.
  • Outstanding organizational and communication skills.
  • Ability to quickly learn about the lighting industry and basic lighting terminology.
  • Ability to work under tight deadlines in a fast-paced environment.
  • Strong organizational, leadership, and both oral and written communication skills are essential.
  • Work independently but remain in collaboration with other team members.
  • Excellent time management skills.

The position includes the above but is not limited to these areas of concentration.
