Associate II, Administrative Assistant - US Pharma at Merck in Boise, Idaho, United States Job Description Job Description The Associate II Administrative Assistant will support 4-6 management level sales leaders within a given sales team and be accountable for providing comprehensive administrative support. This position is accountable for exercising professional judgment, with a strong focus on the awareness of the confidential nature of information; managing calendars by arranging meetings and logistics, including domestic travel; managing expenses in a timely manner, and generating correspondence. Working well independently and with a team, as well as adapting to constant/changing situations, is important to success in this role. Primary Responsibilities include and may not be limited to: Manage calendars, including meeting invites, blocking time for work, travel, vacation, etc. Proactively reviews calendars, identifies, and communicates conflicts. Manage Outlook Inbox, including maintaining team distribution lists, managing email and meeting invites. Expense Management/Reimbursement - input of receipts, create, modify, and submit expense reports. Schedule and manage travel in a timely fashion. May include research, booking and collaborating with our travel team. Plan logistics for large- and small-scale meetings. Manage new hire onboarding and close outs - hardware, fleet, business cards, etc. Manage sales team rosters accurately. Handle sensitive and confidential information and situations. Manage multiple competing tasks and priorities in a deadline-focused environment, adapting quickly to change. Work independently and in a team setting, including anticipation of needs, self-direction, and motivation. Qualifications - Requirements: Education: High School Diploma or equivalent. Experience and Skills: Previous administrative / support experience. Advanced computer skills using Microsoft programs, including Outlook, Teams, Word, Excel, Power Point, and ability to operate other company internal systems. Experience scheduling and coordinating complex, multi-leg domestic travel; logistical planning and execution of meetings. SAP-CONCUR-ARIBA experience, processing Expense Reports, Purchase Orders, Payment Request, and other reports within these systems. Ability to work independently and with teams, as needed, to complete work assignments and various administrative tasks. Ability to prioritize designated tasks and problem solve when appropriate.
