JOB SUMMARY

Heilind Mil-Aero is looking for a Strategic Bid Manager, who will be responsible for managing the long-term agreement and contract bid process. They will review incoming requests for large quotes that will result in contractual business and will further assess the value and strategy of each project, ensuring that the bid receives the most competitive pricing available. In addition, they will work alongside the internal Product team and engage with Supplier contacts to attain the best competitive costs. In collaboration with both internal Product team members, and supplier contacts, the Strategic Bid Manager will build vital relationships that will enable them to leverage pricing and increase market share at various vendors. The Strategic Bid Manager will also liaise with the internal Sales team, in order to negotiate profit margins, mark up bids, and ensure that bids are reviewed for completeness and accuracy, prior to returning them to the customer. The Strategic Bid Manager will develop effective strategies and tools in support of the contract bid process, ranging from simple price lists to full VMI requests. Internal Coordination of these bid packages with Sales, Asset, Product, Quality, Finance, and Operations

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties as assigned.

  • Collate various types of information in order to create a winning proposal that contributes to Heilind Mil-Aero's growth and aligns with our profit strategy.
  • Coordinate bid responsibilities and requirements in order to improve accuracy, win ratio, margin growth, and response time.
  • The Strategic Bid Manager is responsible for validating the customer's part number list (RFQ request) to see which parts would make good internal candidates for contract, utilize the QA Quote tool and other internal systems, and conduct cost analysis to choose most competitive costs.
    • Identify best supplier and best cost, based on approved sources, cost structure, and overall supplier performance
    • Ensure all pricing, lead time, minimum order quantities, durations and return/cancellable statuses are determined and checked for accuracy.
    • Capture supplier's quote terms such as escalations and quote validity.
  • Educate the internal Sales Team on attributes of the large bid, such as terms and conditions requirements, quality obligations, renewal options, applicable FARS/DFARS clauses, and duration.
  • Communicate the pertinent aspects of the proposal to senior management and suppliers.
  • Utilize critical thinking skills to assess possible solutions to any uprising issues.
  • Build relationships internally to ensure that all meetings are progressive and valuable.
  • Participate in product trainings, when offered, and make efforts to learn part numbers, descriptions, series, suppliers, and commodity groups.
  • Continually improve the current LTA Bid process.
  • Train, supervise, and coordinate the activities of the department and the employees in that department.
  • Department will meet metrics provided from top line management, will follow through on commitments, honoring customer deadlines, and providing an accurate bid for customer consideration.
  • Take ownership of actions and hold direct reports accountable, as well as follow defined company policies and bid process procedures.
  • Prepare postmortem data to review items won and lost, percentage of items won, and assign post award duties.
Requirements:

EDUCATION/EXPERIENCE:

  • Bachelor's degree or equivalent experience is preferred.
  • Experience (5 years) in Sales, Product and/or Operation Areas in the Military / Aerospace Industry. (Consideration given if strong Excel skills and large bid experience, in lieu of industry experience).

SKILLS AND REQUIREMENTS:

  • Must be a US Citizen due to Naval Contractual Agreements.
  • Must be able to report to Lumberton, NJ office during scheduled in-office workdays.
  • Proficiency with Microsoft Office Suite specifically advanced Excel Skills
  • - Proficient in VLOOKUP, Pivot tables, graphing tools and creating graphics for presentations and PowerPoint.
  • Mathematical skills with ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
  • Proven record of supervising and training a team.
  • Ability to lead a team to produce effective , profitable bids.
  • Natural problem solver and team player.
  • Ability to effectively present information to groups of people with tact and professionalism.
  • Provides customer service excellence to both internal and external customers.
  • Possess the ability to read and understand customer terms & conditions to assess risk and compliance.
  • Strong interpersonal, communication and time management skills.
  • Strong attention to detail and ability to conduct research, when needed.
  • Possess impeccable data entry, organization, and time management skills.
  • Maintains high level or productivity; results driven.
  • Ability to analyze large sets of data and conduct Strategic Planning sessions.
  • Develop and manage information to assist the Sales team in decision making.
  • Ability to plan the timeline of an assigned proposal and project manage the tasks involved in order to meet deadlines.
  • Possess the ability to conduct multiple tasks simultaneously and manage multiple projects while maintaining accuracy.
  • Ability to work independently , yet reach out for support, when needed.
  • Domestic Travel, less than 10% (i.e. if Negotiations when held at customer location).

PHYSICAL REQUIREMENTS:

While performing the duties of this job the employee is often required to stand, sit, use computers, read, write, type, use copy machines, file paperwork, use telephones, and utilize written and oral communication to interact with clients, co-workers, and customers. Must possess mobility to work in a standard warehouse setting and work with and around a variety of equipment, parts, and inventory, operate a motor vehicle and forklift (if position requires); strength, stamina, and mobility to perform medium physical work; Specific vision abilities required by this job include Close vision, Distance vision, Peripheral vision, Depth perception and Ability to adjust focus. Ability to distinguish colors and color variation of physical parts and components, and in documentation such as work instructions and engineering drawings. Hearing and speech to communicate in person and over the telephone or radio. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator. Positions in this classification bend, stoop, kneel, reach, and climb to perform work. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 50 pounds and heavier weights with the proper equipment.
