Job Title: Scanning Project Clerk

Location: Woods Hole, MA

Clearance Required: Public Trust Eligible

Description (scope of work)

IBSS is seeking a Full Time Scanning Project Clerk to prepare data logs for scanning, to digitally scan and track all logs, and to prepare logs for archiving at an off-site federal facility.

Key Responsibilities:

  • Oversee the scanning and storage of all NEFOP data logs.

  • Prepare all NEFOP data logs for scanning.

  • Verify that all NEFOP data logs are scanned and prepare the trips for storage at an off-site NMFS-approved storage facility, as necessary.

  • Enter observer trip logs into the SeaSamp program.

  • Run data audits on each entered trip and review them for entry-related errors. Data audits will then be passed on to NEFOP staff for review.

  • Make corrections to entered trips as directed by NEFOP staff.

  • Complete data releases (track requests, file, copy, mail releases, third-party data requests).

  • Assist with the tracking of data requests as needed.

  • Enter and file Comment Cards.

  • Ensure Comments on Comment Cards are being received by the interested/mentioned/intended parties.

  • Create, print Observer Training Certificates at successful completion of training and ensure they are filed electronically and sent to graduates.

  • Create, print Letters of Introduction for observers and ensure they are filed electronically and sent to graduates.

  • Assist with packing and shipping candidate training materials prior to each training.

  • Assist with maintenance of training reference binders and training materials as needed.

  • Scan and file trainee materials (CPR certificates, medical clearance, tests, scores, training trip evaluations, etc.).

  • Contractor shall assist in creating observer candidate files and ensure proper documents are

  • added and named electronically.

  • Assist with scanning and filing of the Safety Checklists.

  • Assist with making sure all candidates have completed all required administrative tasks related to training and security clearances.

  • Support training preparations such as: reviewing agendas, reviewing class rosters, and printing name badges as needed.

  • Assist with scanning and filing of observer data quality files.

  • Assist with filing, making, and ordering supplies for Trip Files and Trip File Worksheets.

  • Complete Records Schedule maintenance of files in the TDQ Branch.

  • Review and ensure that the observer candidate roster information is correct.

  • Assist with inventory of training supplies and materials.

  • Assist with mailing and supplying copies of printed references for observers.

  • Once provided a task, and method, work independently to complete the task.

  • Predetermined check in time weekly to review tasks, assignments, and

  • accomplishments with Task Lead(s).

  • Organize, reduce, address, inventory, and report on files that are currently in the contractor's cubicle area.

  • For all records clearly mark, store and maintain a records schedule to be followed and executed for TDQ Branch records.

  • Track Observer IT/Cybersecurity training.

  • Assist with training initiatives/products (eg. record management in support of outsourced training; student file tracking).

Required Skills /Education/ Certifications & Qualifications:

  • Must have a minimum of one (1) year of relevant experience and requirements for degrees or credentials.

  • The demonstrated ability to enter numerical data with great and sustained accuracy. Text data entry speed is less critical. Both keypad and text entry skills will be tested.

  • A general knowledge of computer use, and willingness to learn.

  • Program planning and management in a team environment.

  • Developing performance metrics and milestones.

  • Working with diverse interagency teams.

  • Excellent verbal and written communication skills.

  • Developing and monitoring resource investment strategies.

  • Working with marine fisheries information programs or other science-based programs.

  • Proficient in current MS Office software programs.

Skills/certifications and/or credentials:

  • SeaSamp.
