I-Grace is Hiring a Project Coordinator Near Long Island, NY

ROLE

The Project Coordinator provides support to the Accounting Department and Project Managers in the administration of contracts, billings, and other project related items.

RESPONSIBILITIES

  • Prepares monthly Client invoices, including all corresponding supporting paperwork, and maintains all files related to invoices.
  • Enters subcontractor AIA’s, material invoices and material order forms into our accounting system (Sage/Timberline).
  • Monitors compliance of Client accounts, change orders, and sub-contractors.
  • Review subcontractor insurance, enters respective data into Sage and maintains records.
  • Creates and maintains electronic project folders for accounting purposes on shared network drive.
  • Reviews insurance certificates and notifies project team of any upcoming expiration, or other, issues.
  • Maintains monthly project billing schedule.
  • Enters project estimate and contract data into Sage.
  • Prepares Client waivers of lien and statements, when necessary.
  • Processes change orders and trade awards, maintaining logs, processes subcontractor/vendor invoices, and prepare waivers of lien.
  • Prepares commitment documents and contracts with subcontractors and suppliers as directed by Project Manager or Project Executive.
  • May participate in the buy-out of minor scopes (i.e. glazing, bath accessories, etc.).
  • At the direction of the Project Manager or Superintendent, orders incidental materials and tools for the field and prepare in-house schedules (i.e. doors, hardware, accessories, etc.).
  • Assists with the dissemination, tracking, updating, and filing of all Architectural, Engineering and Consultant Drawings and Specifications; SK’s and other submittals (i.e. RFI’s, Shop Drawings, and samples) and maintaining associated logs.
  • Assists Project Manager in preparation of project reports such as field, meeting minutes, tracking logs, and change orders.
  • Maintains project files in binders of all documentation as well as electronic files as per Company policy.
  • Provides support and performs other duties as directed.

REQUIREMENTS

  • Two to five years work experience in administrative field.
  • Proficiency in SAGE 300/Timberline, Construction Accounting and Microsoft Office Suite.
  • Excellent interpersonal, written, and verbal communication skills.
  • Bachelor’s degree from an accredited college or university.

COMPENSATION

Weekly compensation is commensurate with experience and could range from $50k to $90k annually.
