POSITION SUMMARY:

Under the direction of the Hualapai Housing Director the incumbent will assist with the management of the Hualapai tribal housing program offerings; assist with the management, and delivery of services for the Hualapai Housing Maintenance, and file general procurement requisitions of Hualapai tribal housing recipients’. Additionally, the incumbent will also apply the Equal Housing Opportunity Regulations, Title IX, act as Tribal Liaison for the Hualapai Housing program activities, and monitor procurement and inventory.

ESSENTIAL FUNCTION:

  • Prepare purchase orders and send copies to suppliers and to departments originating requests.
  • Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
  • Respond to customer and supplier inquiries about order status, changes, or cancellations.
  • Perform buying duties when necessary.
  • Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
  • Review requisition orders in order to verify accuracy, terminology, and specifications.
  • Prepare, maintain, and review purchasing files, reports and price lists.
  • Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.
  • Track the status of requisitions, contracts, and orders.
  • Calculate costs of orders, and charge or forward invoices to appropriate accounts.
  • Sort and file correspondence, and perform miscellaneous clerical duties such as answering correspondence and writing reports.
  • Assist in managing and following up on material received at the program warehouse or job site.
  • Maintain a general inventory ledger for all items.
  • Prepare environmental assessments for HHD programs.
  • Maintain files for open and on-going projects on building materials and labor costs.
  • Maintain open purchase order logs for current and outstanding purchase orders; close out purchase orders at the end of each project.
  • File projects in the order completed for all documentation relating to a project after it is closed.
  • Submit request for tool replacement or additional tools.
  • May instruct, supervise and guide temporary, youth, work alternative and seasonal employees in basic work procedures and safe working practices.
  • Responsible for proper maintenance of all equipment, program vehicles, warehouse and yard.
  • Assist in physical inventory (reconciliation of monthly/annual).
  • Work effectively with others in a team-based environment to accomplish department goals and to identify and resolve problems.
  • Perform necessary housekeeping duties in order to maintain a clean, safe organized working environment while maintaining inventory in an orderly fashion.
  • Coordinate with the drivers on outgoing equipment, supplies and material to and from project sites ensuring all materials are handled appropriately and maintain product quality.
  • Ensure that all equipment and material for each project are in stock and ready before the start date of a project.
  • Ensure the timely and accurate stocking of material and items to designated areas, sort and place material on shelves, and bins according to predetermined sequences.
  • Performs other duties as required.

MINIMUM QUALIFICATIONS REQUIREMENTS:

Education and Experience:

  • Bachelor’s Degree in Applied Behavioral Sciences, Public Administration or related field.

OR

  • High School Diploma or GED equivalent, AA degree or education equivalent towards BS degree
  • Service of at least three to five years of experience as liaison to clients and businesses.
  • Any combination of education, training or experience that demonstrates the ability to perform the duties of the position.

Knowledge, Skills and Abilities:

  • Excellent administrative and organizational skills with the ability to coordinate and implement a variety of activities simultaneously.
  • Ability to prioritize work schedules to meet deadlines.

Other:

  • Must have current local, Federal and State Background check, Driver’s License, pass an MVR Screening, and pass a Drug & Alcohol Drug Test.

Preferences:

  • Experience in working with Tribal governments and/or Tribal programs preferred.
