Job Summary: The Coordinator of Transfer Credit is responsible for the analysis and articulation of all
transfer credit for current, incoming and potential students. The position evaluates official and unofficial
coursework to be transferred in, or accepted, for credit toward a student’s degree by performing the following
essential duties and responsibilities listed in the Job Description that follows.

Minimum Requirements: Associate's degree or equivalent from an accredited two-year college or technical
school, or six months to one year of directly related experience, or an equivalent combination of education
and experience is required. Must be at least 21 years old and maintain a valid Texas driver's license to drive
any vehicle on behalf of the University. Must have a good working knowledge of Internet software;
Spreadsheet software and Word Processing software; and willingness to learn processing systems quickly
and become the expert in the Registrar’s Office software system.

Job Summary: The Coordinator of Transfer Credit is responsible for the analysis and articulation of all
transfer credit for current, incoming and potential students. The position evaluates official and unofficial
coursework to be transferred in, or accepted, for credit toward a student’s degree by performing the following
essential duties and responsibilities listed in the Job Description that follows.
Essential Duties and Responsibilities:

1. Evaluate official and unofficial transcripts submitted to the Office of the Registrar
2. Coordinate receiving and analysis of various transcript types, including but not limited to Parchment,

SPEEDE, Joint Service and official/unofficial physical copies
3. Maintain transfer policy within the Student Information System (SIS), PowerCampus, including: FICA

codes, addresses and course information
4. Ensure all universities and/or colleges are accredited before accepting transfer credits. Double verify

through the accrediting body and the university/college websites
5. Utilize Texas Common Course Numbering System (TCCNS) for verification of direct transfer courses;

maintain Howard Payne University’s information on TCCNS and in the Course Catalog Appendix
6. Contact University Departments, as needed, with course descriptions for transfer evaluation approval
7. Serve as the contact person and resource for transfer credit related questions and explanations
8. Monitor Transfer Course Approval forms for current students and process based on university policies
9. Conduct data entry of transfer credit based on Howard Payne University’s policies and maintain

accurate reference materials
10. Serve as a liaison with Admissions for transcripts and evaluation needs for incoming students
11. Lead transcript evaluations for all SWARM events held by Admissions
12. Support and guide students through scheduling/registration needs and all Office of the Registrar form

requirements
13. Welcome potential new students and their families through transcript/evaluation communications
14. Assist with enrollment verification through Parchment, National Student Clearinghouse and in-person

requests
15. Aid in outgoing transcript preparation and mailings as needed
16. Abide by the Family Educational Rights and Privacy Act (FERPA) guidelines when dealing with

constituent information
17. Understand Howard Payne University’s articulation agreements for transfer evaluations
18. Assist with preparation and day-of coordinating as assigned for annual Commencement ceremonies
19. Provide administrative support by answering the phone and registrar@hputx.edu email, filing student

records and delivering mail on campus
20. Perform other related duties as assigned
