PRIMARY FUNCTIONS: The Admissions Clerk is the primary administrative position within the Admissions Department. Responsible for answering and directing hundreds of phone calls per day, staffing the agency's front desk lobby, prescreening all incoming applications, continued outreach to waiting list applicants, and initial eligibility processing of waiting list applications. These duties require the Admissions Clerk to be knowledgeable in program regulations and exhibit strong multitasking skills. Place eligible applicants on relevant waiting lists. Send approval and rejection letters as needed. Demonstrate a general understanding of waiting list eligibility, program regulations, and the YARDI software system. Ensure excellent customer service by efficiently handling hundreds of incoming calls daily, determining the questions needed in order to accurately identify caller inquiries and, if needed, directing the callers to the appropriate parties. Greet incoming visitors and clients; determine the nature of their business, direct to the appropriate staff when needed. Exhibit a solid understanding of eligibility requirements for the PBRA, LIHTC, and HCV programs and general waiting list processes. Able to explain these requirements to the public, outside agencies, and waiting list applicants. Assist department leads in annual waiting list purges. Create and mail thousands of applicant letters per year using relevant waiting list reports, Microsoft Word mail merge, and storing copies of all letters in assigned databases. Conducts initial reachouts to applicants on the top of waiting lists, as instructed. Reaches out by phone, email, and USPS mail to all assigned applicants and keeps running documentation of communication attempts on a shared spreadsheet. For all applicant contacts made, request consent forms, SSNs and birth certificates for all household members. Conducts initial eligibility screening with review of applicant documents and criminal reports obtained through the YARDI software system. Log, date stamp, and distribute all incoming mail and applicant paperwork. Process all incoming applicant update forms by completing requested changes in the relevant software systems and routing forms to the appropriate parties. Monitor department supply inventory and submit requisitions for orders, when needed. Perform general office work and various administrative support functions to aid Admissions staff. Perform other duties as assigned.

QUALIFICATIONS: Two years college and/or business school. Two years of general clerical experience. Related work experience may substitute for education on a year-to-year basis. Good knowledge of general office, clerical and secretarial practices and procedures, business English, spelling, punctuation, and basic arithmetic. Ability to type 45 words per minute accurately. Ability to perform repetitive and tedious job assignments accurately. Skill with general office machines, databases, Microsoft Word, and Microsoft Excel. Ability to understand and follow complex written and oral instructions, communicate and relate to persons of diverse backgrounds and abilities, and establish and maintain effective and courteous working relationships with other employees, residents, and business contacts outside the Housing Authority. Bondability Valid Texas Driver's License, driving record, and copies of diplomas and/or transcripts required.

WORKING ENVIRONMENT AND PHYSICAL DEMANDS: Work is principally sedentary; however, may involve some physical exertion, such as kneeling, crouching, or lifting to obtain files and records, and eyestrain from working with computers and other office equipment. Work involves the normal risks and discomforts associated with an office environment, but is usually in areas that are adequately cooled, heated, lighted, and ventilated.
