Sales Coordinator

Overview:
Overall Responsibilities: The Regional Sales Coordinator/Social Media will be responsible for assisting the sales department in achieving revenue and customer satisfaction goals by efficiently and effectively assisting the Regional Sales Manager. Furthermore, the Sales Coordinator will be responsible for providing support to the sales team in executing contracts, proposals, and correspondence. Other responsibilities may include but are not limited to the following:

  • Proactive self-starter who is efficient with seeking prospective clients for sales revenue.
  • Familiar with convention city center market.
  • Group sales emphasis with knowledge of building group blocks, contracts and group block audit and pick up.
  • Autonomous mindset and owns decision making with minimal supervision.
  • Perform a wide variety of administrative assignments which are sometimes confidential in nature.
  • Operate a computer to enter data, draft, edit, revise, and print letters, reports and other documents.
  • Coordinating communications between Sales and Operations Team.
  • Operate a photocopy, fax, and other office equipment.
  • Greet and direct visitors and answer, screen, and route phone calls.
  • Resolve routine administrative problems and answer basic inquiries.
  • Establish, maintain, and update files, records, and other documents.
  • Arrange and schedule meetings, travel, interviews, and appointments.
  • Order supplies.
  • On time and at work when scheduled.
  • Consistent professional and positive attitude and actions when communicating with guests, vendors, and associates.
  • Putting Spreadsheets together for properties
  • Inventory at any time
  • Social Media for hotels
  • Putting in groups, making contracts, working in IHG, Marriott & Hilton Systems, Rooming list, Resumes, BEO’s, Hotel Planner, and Invoices.
  • Uploading pictures and making posts on social media
  • Prepare commissions and rebates for convention groups
  • Prepare pickup reports and report to housing daily
  • Generate any amenity forms for V.I.P – follow up as necessary
  • Review, calculate, and submit all HHonor points for convention groups (if applicable)
  • Prepare GRIP/Audit reports as needed
  • Generate and submit introduction letter to housing company’s for newly contracted convention blocks
  • Monitor convention block cut off dates -communicate reminders to customers
  • Download group pick-up – be a liaison between the hotel & 3rd party housing to ensure timely submission of room list
  • Regularly update Delphi with details from ongoing correspondence
  • Responsible for weekly resume meeting-detail all resumes and distribute
  • Generate post-convention thank you letters
  • Perform any other job-related duties as assigned.
  • Any other tasks/duties as requested by management.

  • College Degree in a related field preferred.
  • Hospitality administrative and/or sales experience preferred
  • Previous Hotel or Travel industry experience preferred
  • Experience and knowledge of Hilton/Marriott/IHG systems preferred. Including by not limited to OnQ R&I, PEP Front Desk, FMS and CRM system-Delphi., Fosse, Lightspeed, Opera
  • Organizational skills are essential along with the ability to engage multiple, ongoing tasks while meeting deadlines.
  • Computer skills including Microsoft Word, PowerPoint and Excel and strong typing skills are required.
  • Must be able to prioritize departmental functions to meet due dates and deadlines.
  • Must be able to work with and understand financial information and data, and basic arithmetic functions.
  • Must have a flexible schedule and ability to work days, evenings or nights any day of the week, including weekends and holidays. (Most weeks are M-F)
  • Must have exceptional customer service skills
  • The ability to consistently perform multiple tasks in a detailed manner are essential in what is a busy environment.
  • Ability to work well in a team environment
  • Must have a self-starter drive with an even disposition to effectively communicate with guests and staff.
  • Maintain a professional appearance and manner at all times.

EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience. Supervisors should have a working knowledge of day-to-day hotel office procedures and previous hotel department supervisory experience.

LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other associates of the organization.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY: Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
