Full job description

We are looking for a talented Front Office Administrator to join our growing team and become an integral part of our front office administrative staff. You will be the ‘face’ of our company and ensure visitors receive a heartwarming welcome to promote our company’s mission. The ideal candidate will perform front desk activities, including calls, scheduling and client services; as well as creating and maintaining our professional relationships with referral sources, payors and employees. As a Front Office Administrator, you should combine a pleasant personality with a dynamic professional attitude to be a part of our team.

Our ideal candidate can deal efficiently with complaints, has a solid customer service approach, and can work well with a diverse team. Ultimately, you should be able to ensure our front desk provides professional and friendly service to anyone that walks into the door.

Responsibilities

  • Providing exceptional customer service to our diverse clientele in the office and over the phone.
  • Answering calls from current & new clients and helping create employee/client binders.
  • Coordinating and managing incoming client referrals from various referral sources, via phone call, email or fax.
  • Have excellent phone, email, and in-person communication skills and presence.
  • Assist staff with obtaining necessary medical records, authorizations, chart creation/client files and insurance information.
  • Data entry, as assigned, through Microsoft Excel, Word, and our electronic records software.
  • Maintaining a welcoming, clean, and organized client reception area.
  • Monitoring office supply inventory and ordering supplies
  • Maintaining client medical records archival storage

Required Qualifications

  • High School Diploma: additional certifications are a plus
  • Proven work experience in Customer Service
  • Basic knowledge of fax machines, printers, and computers
  • Fluent English & Spanish proficiency, oral & written.
  • Understanding/knowledge of Microsoft Office (Excel & Word preferred)
  • Excellent communication and people skills
  • Organization, multi-tasking, and timeliness skills
  • Problem solving abilities
  • RELIABLE transportation & valid driver's license.

Job Type: Full-time

Pay: From $17.00 per hour

Schedule:

  • 8 hour shift
