Enter new and closed sales transactions/contracts, commissions and reconcile accounts. Provide transaction follow-up and respond to and resolve commission questions. Assist with month end reconciliations, process charges, and payments and maintain other assigned accounting records.

Job Duties and Responsibilities

1. Manage compliance of sales and lease transactions, which may include entering the sales and leases into Skyslope and Lone Wolf. Ensure the accuracy and timely preparation of Commission Disbursement Agreements (CDA). Correspond with sales leader, on-site staff and sales associates if additional documentation is needed. (20-30%)
2. Confirm accuracy of funds received from the title companies and/or checks from landlords close out the transactions in Lone Wolf, Skyslope, MLS, team drive and submit deposits to finance. (10-25%)
3. Review associate billing for discrepancies before emailing the associate billing to the sales associates. Process credit cards through Lone Wolf monthly. (10-15%)
4. Monitor upcoming sales transaction for completeness and compliance. (15-20%)
5. Provide support to the sales associates which may include, ensuring all paperwork is completed and processed in a timely manner Remain available for sales leader, sales associates and field staff. (15-20%)
6. Respond to questions regarding commissions and research and resolve discrepancies. Assist in locating errors and filling out reports. (10-15%)
7. Confirm agent GCI to ensure levels agent fees is updated in Lone Wolf as needed. (0-5%)
8. Enter and charge new associate launch fees as needed. (0-5%)
9. Confirm all closings are accounted for by interacting with on-site staff and sales associates and title companies update the systems as needed. (10-15%)
10. May process sales associate accounts receivable charges and payments. (5-10%)
11. Maintain new and existing sales associate information. This includes working with sales managers to ensure accurate compensation agreements based on outlined qualifications. (0-5%)
12. Perform any additional responsibilities as requested or assigned. (0-5%)

Qualifications

Education:

• High school diploma or equivalent knowledge and work experience.
• Active/Inactive Texas Real Estate License

Experience:

• 1- 2 years real estate contract transaction processor

Knowledge and Skills:

• Requisite knowledge and expertise to handle various contracts, such as single-family, condominiums, land, farm and ranch, commercial, and leases. Must be conversant with the intricacies associated with each contract type and abide by the guidelines and regulations at the state, local, and brokerage levels.
• Effective problem-solving skills, with attention to detail and commitment to accuracy; ability to meet deadlines.
• Ability to calculate figures: discounts, interest, commissions and reconcile accounts.
• Strong calculator and advanced knowledge of Microsoft Office software including Excel; and working knowledge of computer-based accounting programs.
