HMC Group is Hiring a Senior Project Administrative Assistant Near San Diego, CA

Position Location

This position is eligible for hybrid (office/remote) working arrangement and flexible working hours. The position is located in San Diego, California.

Summary

Responsibilities include administrative support to construction administrators, project managers and principals throughout the course of a project. This position interacts with employees, consultants, clients, contractors, and office guests.Encourages teamwork by creating a climate where others are respected and valued.This position performs document control during all phases of a project. This position also will be performing general office administration and oversight.

Position Responsibilities

  • Responds promptly to client needs, solicits client feedback to improve service, responds to requests for service and assistance, meets commitments
  • Act as a point of contact for architects, clients, consultants, contractors, and various construction services teams
  • Responsible for all project data entry on various platforms
  • Utilizes resources, establishes priorities, and organizes work to meet/complete required department, program, project, or firm deadline
  • Participates in meetings and help follow up on actions needed
  • Responsible for writing and distributing meeting minutes for various projects and project managers
  • Plans and organizes work assignments for optimum results
  • Assist document control during all phases of a project, including governing agency submissions and communications, routing of RFIs, submittals, change documents, project closeout and all correspondence between contractor and design team
  • Responsible for more complicated/larger projects
  • Participate with HMC and the studios events/social committee’s; be the office champion for community activities and in-house activities/events to bring everyone together
  • Promote a positive work environment
  • Office administration responsibilities including oversight of all general cleanliness and presentation of the office for clients and events; main office contact; order catering; order office, kitchen supplies and procore other goods as needed
  • Administration and reconciliation of managing principal calendars, task lists and coordinationg/planning meetings
  • Prepare and arrange all office travel requirements
  • Coordination with studio operations administrative manager as needed
  • Other duties as assigned

Position Requirements

  • High School Diploma with two (2) years college related courses preferred, or equivalent experience
  • Minimum five (5) years general and administrative office experience. Experience in supporting multiple projects and people
  • Demonstrate skills in bluebeam, microsoft office suite, including word, excel, outlook, and construction management software
  • Detail-oriented, multi-tasking, energetic, adept at succeeding in fast-paced environment
  • Organizational skills and ability to establish priorities, objectives, and deadlines
  • Speaks clearly and persuasively in positive / negative situations, listens, and gets clarification
  • Writes clearly and informatively, edits work for spelling and grammar, presents numerical data effectively, able to read and interpret written data
  • Ability to establish productive working relationships and to deal smoothly, effectively, and cooperatively with people at all levels
  • Displays good work ethics – punctuality and attendance are a priority
  • Provides an overall quality work product that contributes to the success of the department, project, or firm
  • Demonstrates a high degree of industry related knowledge
  • Excellent organizational skills and ability to establish priorities, objectives, and deadlines with minimal supervision
  • Demonstrates overall accuracy and thoroughness, applies feedback to improve performance, monitors own work to ensure quality and avoid repetitive errors
  • Provides oversight ensuring that the office/studio follows all quality and procedural standards
  • Considered a role model for all administrative staff
  • Familiarity with governing agencies and DSA/HCAI

The salary range for this position is $21.45 to $29.21

The actual offered salary for this position will vary depending on multiple factors including the candidate’s qualification, education, position knowledge, work experience, skills, ability, work location, and internal incumbent compensation for similar roles. We do not anticipate individuals hired into this position will start at or near the top half of the range listed; the decision will be based on each individual case. The salary range listed above does not include other compensation elements such as discretionary bonus opportunities, employee stock ownership grants, paid time off, medical insurance, and other wage and benefit opportunities.
