Responsibilities

The Workplace Experience Data Specialist supports the Occupancy Planning (OP) team within Airbnb’s Workplace Experience (WEX) team, obtaining, managing and processing space and occupancy data for all of Airbnb’s global offices. The Workplace Experience Data Specialist will be responsible for foundational data maintenance in various space data tools, supporting the processing and regular preparation of various reports, and contributing to a team culture of trusted expertise, data integrity, solutions-oriented support, and creative thinking.

The Workplace Experience Data Specialist should be mindful that their work may be visible to global employees, the Workplace Experience team, our stakeholders, and company leadership and may be used for operational and strategic decision-making. Thus, the candidate is expected to take ownership of their work and aspire to 100% data accuracy, with exceptional attention to detail and an interest in using tools/technology to effectively communicate data.

The right candidate will be eager to learn and ask questions and demonstrate exceptional listening and communication skills. They should be able to manage numerous competing priorities with varying levels of urgency. Taking direction from the OP team, the candidate should expect 10-20% of their work to be collaborative, with the majority of their time spent on their own tasks. For that reason, it’s important that the candidate be comfortable working on their own, maintaining self-motivation, and completing repeated data tasks on schedule.

Team Participation

  • Join regular status meetings with the OP team to share task updates and challenges
  • Participate in OP team working sessions to identify issues, work through challenges, and use creative problem solving to find solutions
  • Help maintain an organized folder structure for the OP team and contribute to ongoing development and maintenance of a team playbook
  • Attend greater Workplace Experience all-hands and meetings as needed to understand context and provide support
  • First responder to any tickets/work orders assigned to the OP team

Data Maintenance

  • Primary responsible party for managing and maintaining functionality of space data systems (e.g. OfficeSpace, VergeSense)
  • Maintain data within space data systems with a goal of 100% accuracy
  • Conduct quarterly audits for global space data accuracy to support tools and reports. Audits may include some or all of the following:
  • Distributing audit surveys and comms to global WEX team members
  • Updating space data in various tools according to audits received
  • Relaying space data changes to OfficeSpace and VergeSense teams as needed
  • Tracking, organizing, communicating, and following-up to ensure timely audit completion
  • Manage floor plan repository to ensure accurate floor plans are readily available and old floor plans are appropriately archived
  • Understand Airbnb’s official Capacity Methodology and maintain an up-to-date list of capacities for global offices at multiple levels
  • Work with local WEX Coordinators to collect site information as needed and incorporate data points into existing tools and reports
  • Maintain room data source of truth that informs other systems and tools
  • Attend regular meetings with OfficeSpace and VergeSense support teams to address issues and stay informed of product updates
  • Strive for clear and organized working docs to streamline use by other OP team members

Reporting Support

  • Process weekly Workday and occupancy data to be used for various processes
  • Monitor badging data to ensure all site data is being fully received in the expected format
  • Update the Weekly Occupancy Report using new badging data received each week
  • Support the creation of monthly office utilization reports to provide metrics and visuals to stakeholders and leadership
  • Create reports for office visitor data using Airbnb’s office visitor system
  • Support the OP team in creating as-needed reports to address ad hoc needs requested by internal Workplace Experience team members, key stakeholders, or leaders, sometimes with urgent timelines
Qualifications

Minimum Requirements include:

  • Bachelor’s Degree and 4 years of relevant work experience (Business and/or Information Systems or similar area of study a plus)
  • Experience working in remote environment strongly preferred
  • Proficient with Google Workspace (e.g. Google Sheets, Slides, etc.)
  • Proficient in Excel and/or Google Sheets and proven ability to use formulas, and willingness to learn additional formulas and processing methods
  • Ability to create basic presentations in PowerPoint and/or Google Slides
  • Strong attention to detail and habit of reviewing work to ensure accuracy
  • Proven sense of ownership, responsibility, and self-discipline
  • Comfortable with routine tasks, repetition, and deadlines
  • Excellent organizational, time management, and written and verbal communication skills
  • Resourceful, proactive, and comfortable working autonomously
  • Able to manage multiple projects simultaneously and work effectively in a fast-paced, dynamic environment with high expectations for quality
  • Experience in process documentation, editing and maintenance
  • Analyze and interpret various types of data, making connections in order to draw conclusions
  • A positive attitude and ability to adapt quickly to change
